We are looking for an experienced Virtual Medical Assistant (VMA) with strong hands-on experience in U.S. healthcare and patient care support. The ideal candidate should have experience working with U.S. medical practices and be comfortable assisting patients, scheduling appointments, handling calls, managing patient information, and navigating
electronic health record (EHR) systems.
We are particularly interested in candidates who have direct experience using EHR/EMR platforms such as ModMed, eClinicalWorks (eCW), or similar systems.
Key Responsibilities
• Handle inbound and outbound patient calls in a professional and compassionate manner.
• Assist patients with appointment scheduling, rescheduling, and cancellations.
• Navigate provider schedules and select the appropriate appointment type, provider, date, and time based on the patient’s needs.
• Verify and update patient demographics, contact information, date of birth, and other registration details.
• Verify and update patient insurance information and assist with basic insurance eligibility-related tasks.
• Identify the patient’s reason for the visit and route calls to the appropriate provider, department, nurse, or staff member.
• Take and document accurate patient and nurse messages.
• Assist with prescription refill requests, referrals, lab orders, imaging requests, and other routine patient inquiries.
• Document patient interactions accurately in the EHR/EMR.
• Review patient charts and locate relevant information when handling patient requests.
• Coordinate with providers, nurses, medical assistants, and front-office staff.
• Follow established workflows for urgent, clinical, and non-clinical calls.
• Maintain patient confidentiality and comply with HIPAA and U.S. healthcare privacy requirements.
• Escalate clinical or urgent concerns to the appropriate clinical staff according to office protocols.
• Perform other administrative and patient-support duties as assigned.
EHR/EMR Experience – Required
Candidates must be comfortable navigating and working within an EHR/EMR system.
Experience should include, but is not limited to:
• Searching for and locating patient charts.
• Reviewing patient demographics and medical information.
• Updating patient information and insurance details.
• Documenting telephone encounters and patient messages.
• Reviewing provider schedules and appointment availability.
• Scheduling, rescheduling, and canceling appointments.
• Selecting the appropriate provider and appointment type.
• Reviewing previous encounters, notes, orders, referrals, and other relevant chart
information.
• Entering accurate documentation while maintaining patient privacy.
Experience with any of the following systems is highly preferred:
• ModMed / Modernizing Medicine
• eClinicalWorks (eCW)
• Other U.S. healthcare EHR/EMR systems
Required Qualifications
• 2+ years of experience working in a U.S. healthcare environment preferred.
• Must be fluent in English, Spanish ideal
• Previous experience as a Virtual Medical Assistant, Medical Assistant, Medical Receptionist, Patient Service Representative, Medical Scheduler, or similar healthcare position.
• Hands-on experience with patient scheduling and appointment management.
• Strong knowledge of U.S. healthcare workflows and patient-care processes.
• Hands-on experience using EHR/EMR systems.
• Experience with ModMed, eCW, or similar platforms is highly preferred.
• Experience handling patient calls and communicating directly with U.S. patients.
• Basic understanding of U.S. health insurance, including Medicare, Medicaid, HMO, PPO, commercial insurance, referrals, and eligibility.
• Working knowledge of medical terminology.
• Excellent verbal and written English communication skills.
• Strong attention to detail and accuracy.
• Ability to multitask while maintaining high-quality patient service.
• Ability to work independently and effectively in a remote environment.
