JOB OVERVIEW

Client & Marketing Operations Coordinator (WordPress, SEO, GoHighLevel)
Client support, membership site, publishing operations, and SEO

Full-time | Remote (Philippines) | Permanent | Semi-flexible schedule

ABOUT US

We are a small remote North American company providing online education and coaching programs. We run a YouTube channel with over 400k subscribers, deliver live events, maintain a client membership site, and publish written content on an ongoing schedule. Our team is long-tenured. This is an in-house seat: one company, one stack, permanent, not agency or client-rotation work.

THE ROLE

You keep two things running: our clients' experience of working with us, and the systems underneath it. Our website, funnels, calendar, and automations stay accurate underneath it all, and our search optimization work moves forward every week.

On the client side, logistical questions get answered the same business day, sessions get booked and rescheduled without friction, and the recordings and materials our clients paid for reach them when they expect them. When something needs judgment rather than logistics, you route it to the right person rather than guessing.

On the publishing side, our marketing content goes out on schedule: social posts loaded and verified live, emails scheduled and sent, articles published to the websites. Whatever our team and outside partners produce, you get it out correctly and confirm it landed. Our website, funnels, calendar, and automations stay accurate underneath it all, and our search optimization work moves forward every week.

Creative and build work is produced by our senior team and outside partners. Your work starts where theirs ends.

Day to day, you will:
• Resolve client logistics in our support inbox: scheduling, session links, reschedules, sending recordings, and access issues, using our documented reply guides
• Escalate anything that calls for judgment rather than logistics, routed to the right person on our team using our documented rules
• Manage our session and events calendar end to end: booking, rescheduling, cancelling, and rebooking through our approved process
• Administer our client membership site: recording uploads, content updates, member access, and setup for each new session
• Onboard and offboard clients to our checklist: access, calendar, and enrollment set up correctly at the start, and closed out cleanly at the end
• Load our weekly social publishing schedule from prepared asset packages across our platforms, write captions from our documented guides, and verify daily that every post actually published
• Assemble and send our weekly client email and announcements from finished drafts, and load approved campaign sequences in GoHighLevel, verifying every send before it goes out
• Publish finished articles to WordPress and to our external article publishing platforms, applying our SEO specification to every website post and confirming it renders correctly
• Receive deliverables from our outside partners, check them against spec, and queue them
• Execute our SEO update plan across the existing site and content, to a written specification
• Make small updates to existing GoHighLevel pages, load approved email sequences and broadcasts, and improve existing automations alongside our operations manager
• Monitor automation alerts, run first diagnosis, and escalate with a written report
• Collect weekly performance metrics across our platforms and prepare them for reporting

What success looks like in 90 days.
• Client logistics resolved same business day
• Every scheduled post verified as published, with any failure reported by you before anyone else notices
• The membership site current within 1 business day of any release
• Client emails and weekly articles out on schedule, every week
• The SEO update specification executed at 25 URLs per month

WHAT THIS ROLE IS NOT

There are no full funnel builds, no graphic design, no video editing, no long-form copywriting, and no sales. Marketing content arrives already written. You load, format, send, and verify. Social media here means scheduling and verification, not content creation. If you are looking for a pure development seat or a creative seat, this is not it. The technical lane in this role is real, and it grows out of operations excellence.

WHO YOU ARE

• A technical foundation: a computer science, engineering, or related technical degree, or equivalent professional or self-taught depth. We can train depth in WordPress, GoHighLevel, and our other tools on the job, so specific tool experience is not required. Picking up new technical systems quickly, from documentation, is. Shown one worked example, you can produce the next twenty without constantly checking in.
• An improvement habit. You understand tech and tools well enough to see where a process is weak, and you propose the fix rather than working around it.
• Professional written English. Your writing goes to clients.
• Precision on repetitive, structured work. You follow checklists exactly, and you flag when a checklist is wrong.
• A verification habit. You confirm your output is live and you log it. "Scheduled" and "published" are different states to you.
• Proactive written communication. Blockers, anomalies, and your own mistakes surface early, from you. If you need to be chased, this will not be a good fit.

GROWTH

Promotion here follows demonstrated strength, and we have promoted from within before. Consistent precision in the core work earns expanded technical scope: building new automation workflows and pages under review, rather than only maintaining and optimizing existing ones.

COMPENSATION AND TERMS

$650 USD per month. Full-time and exclusive: we ask that this be your only professional commitment, and any current freelance clients or part-time work must be disclosed in your application. Semi-flexible schedule with 4 hours of overlap with North American Pacific business hours. Daily and weekly verification checkpoints are fixed.

APPLICATION PROCESS

1) Application review; 2) a live video interview with your camera on (no exceptions); 3) a paid trial task, 4) and a final interview. Identity and reference verification are completed before any offer.

TO APPLY

Send your CV with the subject line exactly: Application: Operations Coordinator (Verified)

In your message, answer these four questions:

1. Describe a process you ran for months without errors, and how you tracked that it stayed error-free.
2. Describe a mistake you caught that nobody else had noticed. What did you do next?
3. Describe something technical you taught yourself from documentation. What did you build or fix with it, and what part of the documentation was wrong or missing?
4. What does an ideal work week look like for you?

Applications that do not follow these instructions are not reviewed.
