This is not a “hold the calendar and smile” support role.
We’re looking for a Technical Engineering Coordinator who can move comfortably between engineering calculations, technical correspondence, project coordination, and executive-level administrative support.
You should be able to look at a structural or mechanical calculation sheet, understand what you’re looking at, identify potential discrepancies, communicate clearly with a client, and keep the project moving — without everything being divided across three different people.
If you’re an engineer who is organized, commercially minded, technically sharp, and comfortable owning a moving workload, this could be a very strong fit.
What You’ll Do
* Own the inbox, don’t babysit it. Monitor and triage incoming
* Review and validate engineering calculations. Check calculations for accuracy, consistency, and potential discrepancies before they become project or client issues.
* Keep engineering projects moving. Track timelines, deliverables, dependencies, follow-ups, and outstanding items across multiple active projects.
* Review and mark up technical documents. Use Bluebeam or equivalent redlining/markup software to review plan sets, submittals, drawings, and technical documentation.
* Provide high-level administrative and executive support. Handle scheduling, correspondence, coordination, documentation, follow-ups, and the many operational details that keep an engineering practice running smoothly.
* Communicate with clients professionally. Draft clear, concise, technically appropriate responses where required and ensure communication does not get lost in translation.
* Use technology intelligently. Leverage Microsoft Office and AI tools to improve drafting, research, documentation, organization, and workflow efficiency.
* Take ownership. Identify what needs to happen next and make it happen rather than waiting for someone to assign every step.
Non-Negotiable Requirements
* Bachelor’s Degree in Civil Engineering or Mechanical Engineering**
* 5+ years of executive assistant, administrative, coordination, or comparable professional experience**, ideally supporting engineering or technical leadership
* Demonstrated project management experience with the ability to manage timelines, deliverables, priorities, and follow-ups
* Strong Microsoft Office proficiency, particularly Excel
* Familiarity with Bluebeam or comparable document markup/redlining software
* Strong spoken and written English
* Ability to understand and communicate technical information clearly
* Comfortable using AI tools for drafting, research, organization, and document-related tasks
* Strong technology skills and the ability to learn new systems quickly
* Comfortable working independently in a remote environment
* Excellent judgment, organization, attention to detail, and follow-through
We’ll Evaluate You On
Relevant Work Experience
Your previous roles, scope of responsibilities, engineering/technical exposure, project coordination experience, and ability to operate at a high level.
Software & Technical Proficiency
Your working knowledge of Microsoft Office, Excel, Bluebeam or equivalent markup tools, project management platforms, communication tools, and AI-enabled productivity tools.
Remote Work Experience & Adaptability
Your ability to stay productive, organized, responsive, and accountable without someone physically supervising your work.
English Proficiency — Spoken & Written
You must be able to communicate confidently and professionally with US-based clients and engineering professionals.
Professionalism & Attitude

In engineering, delays and vague communication can become expensive very quickly. You should be responsive, concise, and clear — especially when something requires immediate attention.

Engineering workflows, software, and client requirements evolve. You should be comfortable learning new tools and processes quickly and applying what you learn.
Hubstaff & Remote Accountability
This is a remote position, and Hubstaff will be used for time tracking and work accountability.
You should be comfortable using Hubstaff appropriately and maintaining accurate work activity during scheduled hours. Remote work requires trust — and trust works both ways when expectations and accountability are clear.
Nice to Have
* Previous experience in an engineering firm, consultancy, construction company, or other technical environment
* Experience supporting engineering leadership or technical executives
* Exposure to construction documentation, plan review, submittals, or project workflows
* Formal project management certification
* Experience communicating directly with US-based clients
* Strong familiarity with Bluebeam
* A healthy sense of humor for those moments when the “urgent”
