JOB OVERVIEW

We are looking for a highly capable Project & Operations Lead to work directly with the CEO and Founder across several growing businesses.

This is not a traditional virtual assistant role.

You will help turn priorities into completed outcomes by managing projects, following up stakeholders, conducting research, improving systems, coordinating recruitment and keeping important initiatives moving.

Key Responsibilities
Manage projects, priorities and deadlines
Provide professional customer service via email, phone and messaging
Respond to customer enquiries and resolve routine issues
Escalate important customer or operational issues when required
Coordinate suppliers, contractors and team members
Conduct research and present clear recommendations
Support recruitment and candidate screening
Maintain project trackers, CRM records and internal systems
Create and improve SOPs and workflows
Use AI and technology to improve efficiency
Prepare concise progress updates for the CEO
Follow up outstanding actions and ensure nothing falls through the cracks

You should be:

Highly organised and proactive
Strong at project coordination and follow-up
Comfortable working independently
Excellent in written and spoken English
Confident working directly with a CEO
Tech-savvy and comfortable using AI tools
Able to manage several priorities at once
Resourceful and solution-focused
Someone who takes ownership rather than waiting for instructions

Previous experience in operations, project management, executive support or a fast-moving SME environment is highly regarded.

Working Arrangement

This is a full-time remote role working during Sydney, Australia business hours.

Pay: USD $10 per hour.

We are looking for someone interested in a long-term position who can become a trusted part of the business.
