JOB OVERVIEW

Job Summary:
We are hiring an Admin and Operations Support VA to manage incoming customer calls and handle job scheduling for a growing service company with multiple locations. You will be the voice customers hear first, so excellent English and a warm, professional phone presence are essential. We are looking for someone organized and dependable who can keep up with a busy daily call volume.

Key Responsibilities:
- Take inbound customer calls and handle their questions from start to finish
- Book service jobs into the company scheduling platform (Jobber) with accuracy
- Keep customer and job records up to date in the CRM
- Manage scheduling across more than one business location
- Relay job details, timings, and updates to field technicians
- Complete administrative follow-up tasks after each call
- Reach out to customers for follow-ups when needed
- Share the daily call load with the existing office team
- Handle rescheduling and resolve any calendar conflicts
- Deliver consistently friendly and helpful customer service

Mandatory Skills:
- Clear, professional spoken and written English suitable for phone-based customer contact
- Demonstrated experience answering a high volume of inbound calls
- Practical working knowledge of Jobber scheduling software
- Precise data entry with strong attention to detail
- Experience booking appointments and managing schedules
- Confident using CRM systems and updating them live during calls
- Patient, courteous, and focused on solving customer issues
- Dependable, thorough, and able to work with minimal supervision
- Strong communication skills

Preferred Skills:
- Background supporting a home services, trades, or field service business
- Familiarity with VoIP platforms such as Nextiva
- Experience coordinating between customers and technicians or dispatchers
- Prior customer service or receptionist work for a US-based company
- Able to juggle several locations or accounts at once
- Quick to pick up new systems and workflows
