JOB OVERVIEW

ReFix Property Services is a growing home-services company based in Ottawa, Canada, serving residential customers across Ottawa and surrounding areas.

We provide window cleaning, gutter cleaning, pressure washing, soft washing, interlock cleaning/resanding, permanent LED lighting, Christmas lighting, and other exterior property services.

We are looking for an extremely organized, proactive, and reliable Operations & Dispatch VA to help coordinate our daily operations and keep our field teams running efficiently.

Your Main Responsibilities
Schedule daily jobs and crews in Jobber
Build efficient routes between jobs
Minimize unnecessary driving and wasted crew time
Coordinate schedules with field technicians
Communicate with customers by SMS, phone, and email
Handle rescheduling, cancellations, and schedule changes
Confirm upcoming appointments
Communicate daily priorities with our team
Monitor job progress and make sure jobs are completed properly
Keep Jobber completely accurate and up to date
Review crew timesheets and identify excessive labor hours
Track crew productivity and efficiency
Monitor revenue, labor costs, job profitability, and operational KPIs
Maintain simple daily/weekly performance dashboards
Provide management with a weekly operations report
Identify problems before they become bigger problems
Help continuously improve our systems and processes
KPIs You'll Help Manage

You will be accountable for helping us monitor:

Revenue per crew/day
Labor %
Hours worked vs. hours estimated
Revenue per labor hour
Job profitability
Drive/travel time
Schedule efficiency
Jobs completed
Cancellations/reschedules
Customer issues/callbacks
Crew productivity

Your job is to help us operate efficiently, protect our margins, and make sure every day is profitable.

What We're Looking For
Previous experience in operations, dispatch, scheduling, or home services
Excellent English communication
Extremely organized and detail-oriented
Strong problem-solving skills
Comfortable communicating with customers and employees
Strong Excel/Google Sheets skills
Comfortable working with numbers and KPIs
Jobber experience is highly preferred
Experience with other CRM/scheduling software is a bonus
Able to work independently and take ownership
Strong sense of urgency and accountability

Compensation

$7–$12 CAN/hour depending on experience

Potential for increased compensation as responsibilities and performance grow.
