Remote | Part-Time | Long-Term Position
We are seeking a highly organized, dependable, and detail-oriented Part-Time Bookkeeper / Accounting Operations Specialist to help manage the financial and administrative accounting functions of our U.S.-based businesses.
This is a hands-on role for someone who can take ownership of routine accounting responsibilities, keep accurate records, follow up on outstanding items, and make sure important financial tasks do not fall through the cracks.
We are looking for someone interested in a long-term position, not a short-term freelance project.
Primary Responsibilities
Bookkeeping & Accounting
Maintain accurate and organized bookkeeping records.
Categorize and reconcile business transactions.
Reconcile bank and credit-card accounts.
Review transactions for missing or incorrect information.
Maintain supporting documentation for expenses and transactions.
Help keep accounting records current and organized.
Assist with monthly bookkeeping and account reconciliation.
Identify discrepancies and bring them to management’s attention.
Maintain organized digital accounting files.
Accounts Receivable & Invoicing
Prepare and send customer invoices.
Track outstanding invoices and payment due dates.
Follow up professionally on unpaid invoices.
Maintain an accurate accounts-receivable list.
Record customer payments.
Help ensure completed work is invoiced promptly.
Maintain supporting documentation associated with customer invoices.
Our company typically generates a relatively small number of customer invoices each month, so accuracy and follow-through are more important than processing a very high volume of invoices.
Accounts Payable
Track vendor invoices and bills.
Organize bills by due date.
Verify supporting documentation.
Maintain records of payments.
Help prevent late or duplicate payments.
Flag unusual charges or discrepancies for management review.
Payroll & Employee Accounting Support
Assist with payroll-related administrative work.
Maintain organized payroll documentation.
Help verify employee hours and payroll information when needed.
Coordinate accounting information with our payroll systems.
Assist with expense reimbursements and other employee-related accounting records.
Experience working with ADP or similar U.S. payroll systems is a plus.
Financial Organization & Reporting
Maintain organized records of money coming into and leaving the businesses.
Prepare basic financial summaries for management.
Help track outstanding receivables and upcoming obligations.
Assist in maintaining cash-flow visibility.
Keep financial documentation organized for our accountant/CPA.
Help prepare records needed for tax and year-end accounting purposes.
Who We’re Looking For
The ideal candidate:
Has previous bookkeeping or accounting experience.
Has experience working with U.S.-based businesses or U.S. accounting practices.
Is extremely accurate and detail oriented.
Is comfortable working independently.
Has excellent organizational and follow-through skills.
Communicates clearly in written English.
Is comfortable asking questions when something doesn’t look right.
Understands the importance of confidentiality when handling financial information.
Can manage recurring responsibilities without constant reminders.
Is comfortable working remotely.
Experience with QuickBooks Online is strongly preferred.
Experience with ADP, accounts receivable, accounts payable, invoicing, reconciliations, payroll administration, or construction/technology/service businesses is especially valuable.
Schedule
Approximately 10–15 hours per week
This is a part-time, remote position with a generally flexible schedule.
Some availability overlapping U.S. business hours may occasionally be necessary for communication, but most bookkeeping work can be completed independently.
Compensation
$125 USD per week
This is intended to be a stable, long-term part-time position for the right person.
