Personal Injury Intake Specialist (Remote)

About the Role
We're a personal injury law firm looking for an experienced Intake Specialist to be the first voice a potential client hears. People call us on what is often the worst week of their life — after a car wreck, a fall, a workplace injury. Your job is to make them feel heard, get the facts we need, and move qualified cases into our pipeline quickly and cleanly.
This is a fully remote position. You'll need a quiet home workspace, reliable high-speed internet, and the discipline to stay productive without someone looking over your shoulder.
What You'll Do
Answer inbound calls, web form submissions, chats, and texts from potential clients — usually within minutes, not hours
Conduct compassionate but thorough intake interviews: how the injury happened, treatment received, insurance coverage, police reports, witnesses, prior claims
Screen cases against our firm's criteria and escalate strong leads to an attorney the same day
Follow up persistently on leads that don't sign on the first contact — most cases are won or lost in the follow-up
Send, track, and chase down retainer agreements and HIPAA authorizations through e-signature
Enter and maintain accurate, detailed records in our case management system (Filevine / Litify / Clio or similar)
Politely decline and refer out cases that aren't a fit, without burning the relationship
Hit response-time, contact-attempt, and conversion benchmarks tracked weekly
What You Need
1–3 years of intake experience at a personal injury firm (or a legal call center handling PI leads)
Working knowledge of PI basics: statutes of limitation, liability vs. damages, UM/UIM, med pay, letters of protection
Genuine phone presence — warm, calm, and able to control a conversation with an upset or rambling caller
Strong typing and note-taking; you can capture a full intake while staying engaged on the call
Comfort with case management software, e-signature platforms, and CRM/lead tracking
Home office with a quiet, private space and reliable internet
Availability to work our core business hours, with occasional evening or weekend rotation for after-hours leads
Preferred
Bilingual — fluent in Spanish and English (spoken and written)
Experience with high-volume advertising-driven lead flow
Familiarity with medical terminology and treatment timelines
