Important Qualification Requirement
We are specifically looking for a licensed CPA in the Philippines with at least 3 years of relevant U.S. accounting or bookkeeping experience.
If you are not currently a licensed Philippine CPA or do not have at least 3 years of U.S. accounting/bookkeeping experience, we kindly ask that you do not apply for this particular position.
Position Overview
We are looking for an experienced Senior Bookkeeper who can independently own the books across three U.S.-based business entities plus a personal ledger.
The businesses include:
* An 8-property luxury short-term rental portfolio, with each property tracked separately
* A B2B healthcare compliance company
* A medical school admissions consulting business
* Personal financial tracking
All business entities are managed in QuickBooks Online.
This is not a basic data-entry bookkeeping position. We need someone who understands the books, notices when something does not look right, communicates proactively, and can make sound accounting recommendations without needing constant supervision.
The role is approximately 10 hours per week, generally spread across Monday through Friday. The exact working hours are flexible, but you must be available and responsive during EST business hours when communication or clarification is needed.
Key Responsibilities
* Independently manage bookkeeping for three separate business entities in QuickBooks Online, plus personal financial tracking
* Perform weekly bank and credit card reconciliations across all accounts
* Sync and manage short-term rental reservation data from TopKey
* Categorize transactions correctly by business entity and individual property
* Allocate shared expenses across multiple properties when necessary
* Split mortgage payments between principal, interest, and escrow
* Properly record intercompany transactions using due to/due from accounts
* Identify and reclassify personal versus business expenses on shared or hybrid credit cards
* Reconcile reservation payouts and payment platforms such as Airbnb, VRBO, and Stripe
* Maintain and update a spreadsheet-based weekly cash flow dashboard
* Prepare weekly short-term rental financial summaries
* Complete the full monthly close by the 9th of the following month
* Maintain clean, accurate, and tax-ready books for our U.S.-based tax accountant
* Identify discrepancies, duplicate transactions, unusual charges, missing payouts, or other issues before they are discovered by the owner
* Use a time-tracking tool for accountability
What We’re Looking For
* Licensed CPA in the Philippines
* At least 3 years of relevant U.S. accounting or bookkeeping experience
* Strong hands-on experience with QuickBooks Online
* Experience independently managing books for multiple entities
* Strong bank and credit card reconciliation skills
* Experience reconciling third-party payment platforms
* Strong spreadsheet skills, including structured formulas and financial dashboards
* Excellent written English and the ability to explain financial information clearly to a non-accountant
* Highly detail-oriented and organized
* Proactive and comfortable flagging issues without being asked
* Able to work independently with minimal supervision
* Reliable and responsive during EST hours
Strongly Preferred
* Experience working with U.S.-based short-term rental, vacation rental, or property management businesses
* Experience with Airbnb, VRBO, Stripe, TopKey, Hostaway, Guesty, or similar platforms
* Experience with fixed assets, prepaid expenses, accrual adjustments, and intercompany transactions
* Previous experience working remotely with U.S.-based teams
What Matters in This Role
Communication and ownership are extremely important.
We are looking for someone who responds within the business day, works consistently throughout the month, and actively reviews the books rather than simply processing transactions.
If something looks unusual, we expect you to flag it proactively. When possible, we also want you to provide potential solutions and your recommendation so the owner can make an informed decision without having to investigate the accounting issue himself.
