JOB OVERVIEW

About the role

We're HX Media — a production company that creates signature YouTube formats, think Jubilee, Beta Squad, and the Sidemen — produced as a service for brands, companies, and creators. Almost every video we make runs on contestants, which makes casting one of the most important roles in the company. We're looking for a casting person who can take a format brief, understand exactly the kind of person the video needs, then find them, vet them, and get them to set on time — every single shoot. This isn't a generic recruiting job. We have internal SOPs and systems already built out — we need someone who can run them precisely and own the entire contestant pipeline from sourcing to show-up. What you'll be doing

- Understand the narrative of each video and the exact contestant profile it needs — the "who" changes from format to format
- Source contestants through your own outreach, plus the client's audience via Google Forms when available
- Interview every contestant on a call and vet them for the format — for a debate video: do they have strong arguments and the will to defend them? For a guessing video: can they hold up an alias story and sell it believably under pressure?
- Manage contestants all the way to shoot day — sending updates, confirming attendance, double-texting, running regular check-ins, and making sure everyone is at the right location at the right time
- Keep backups ready for every video so a no-show never kills a shoot
Maintain our ClickUp CRM — full notes on every contestant: who they are, their story, what they do
Work inside our SOPs and systems — a lot of the workflow runs through Claude AI, and we'll show you our exact setup

What we're looking for

- Experience in casting, talent booking, recruiting, or community building — or proof you can find and manage people
- Strong people-reading — you can judge in one call whether someone will perform on camera
- Relentless follow-up — confirming, chasing, and re-confirming without dropping balls is the job
- Organised and CRM-disciplined — every contestant logged and up to date in ClickUp
- Great spoken and written English — you'll be interviewing contestants on video calls
- Comfortable using AI tools (Claude) inside an existing system
- Self-sufficient — we hand you the brief, not a lead list
