Role Overview

We are seeking a highly organized and proactive Overseas E-Commerce & Administrative Assistant to support our daily operations. In this role, you will be the backbone of our digital storefront and customer experience, helping ensure that our websites run smoothly, products are accurately and attractively merchandised, and customers receive premium support. You will collaborate with cross-functional teams, including IT, rendering, logistics, sales, and marketing, while maintaining Adorn Croft's high brand standards.

Key Responsibilities

E-Commerce & Website Management
• Product Listings: Manage and upload new product listings to the main website and a second site currently in development. Ensure accurate pricing, clear and SEO-friendly copy, complete product details, and visually appealing presentation.
• Categorization: Assign products to the correct categories and collections based on site logic, subject to final CEO approval.
• Configurator Backend: Oversee the custom product configurator and coordinate with the IT team and 3D renderer to troubleshoot functionality, update pricing parameters, and accurately upload new digital fabric swatches.
• Site Maintenance: Regularly test the checkout flow, identify glitches, document issues clearly, and follow up with the IT team until fixes are completed fora seamless shopping experience.
• Google Business Profile: Upload and organize products on the company's Google Business Profile to support local search visibility.

Customer Support & Pipeline Management
• Live Support: Act as the first point of contact during scheduled California afternoon hours, providing excellent customer service by phone and live chat and escalating complex or sensitive matters to the CEO.
• Pipeline Organization: Maintain the customer pipeline database so the sales lead can efficiently follow up with and close warm leads.
• Logistics Coordination: Coordinate with freight and logistics partners to send bi-weekly shipment updates to purchasing customers.
• After-Sales Care: Manage post-delivery communication, including satisfaction follow-ups, review requests, and referral-discount outreach.

Marketing & Social Media Support
• Content Coordination: Collaborate with the social media team through ClickUp to deliver brand assets, content briefs, and creative direction aligned with the company's brand identity.
• Community Engagement: Manage direct messages across social platforms, respond to non-sales inquiries, and help build positive brand relationships.
• Asset Management: Organize and maintain digital asset libraries so brand photos, videos, and supporting materials are easy for the marketing team to locate and use.

Research & Administration
• Market Research: Conduct ongoing competitor research on pricing, services such as white-glove delivery, customer experience, and social media strategies to inform business decisions.
• Logistics Research: Identify and vet suitable local dispatch and delivery companies for the company's delivery network.
• Record Keeping: Maintain accurate internal records of pricing changes, product updates, and operational information using shared Excel files and other company systems.

Requirements
• Experience: Minimum of 2 years of professional experience in e-commerce operations, including product management, website backend administration, customer support, or a closely related function.
• Communication: Strong written and verbal English communication skills, with the ability to communicate warmly, clearly, and professionally with customers and internal teams.
• Core Tools: Working proficiency in ClickUp, Gmail, Excel, PowerPoint, and Word, with the ability to learn new systems quickly. Hands-on experience using WordPress for product uploads, page updates, or website administration.
• Brand Awareness: A solid understanding of luxury or high-value product branding and the elevated customer experience it requires.
• Work Style: A proactive mindset and the confidence to identify problems, suggest process improvements, and follow through rather than waiting for step-by-step instructions.
• Attention to Detail: A high level of accuracy and strong organizational skills, with the ability to manage multiple moving parts across time zones.
• Availability: Reliable availability during the agreed California afternoon schedule, along with dependable internet access and a professional remote-working environment.
Nice to Have
• Familiarity with the furniture, interior design, or home decor industry.
• Basic experience with SEO research or reporting tools such as Ahrefs or Semrush.
• Experience using Canva, photoshop for quick image, presentation, or marketing-asset edits.

First 90 Days: Success Scorecard
During the first 90 days, success in this role will be measured by the following standards:
• 100% assigned products are listed accurately and on schedule, with correct pricing, categories, variants, specifications, imagery, and required website fields.
• CEO messages are acknowledged and responded to within 5 minutes during scheduled working hours, except when actively handling a customer call or another urgent assignment.
• Initial customer chat message response time remains under 2 min during scheduled working hours, with complex matters escalated promptly and clearly. All customer emails respond within 12 hours, with complex matters escalated to CEO promptly and clearly.
• No checkout bug remains unresolved, unassigned, or without a documented action plan and escalation for more than 24 hours.
• Pipeline maintenance: Update every active customer lead by the end of each week, with the next action and follow-up date clearly recorded.
• Shipment communication: Send 100% of scheduled customer shipment updates on time, even when there is no material change in shipment status.
• After-sales follow-up: Contact 100% of delivered customers within a week and accurately record reviews, issues, and referral opportunities.
• Task ownership: No assigned task becomes overdue without advance communication, a reason for the delay, and a revised completion date.

Compensation & Trial Period
• Hourly Rate: USD $8-$10 per hour, depending on relevant experience, communication skills, technical capability, and performance during the selection process.
• Paid Trial and Probation: The hiring process will include a paid trial task. The selected candidate will begin with a one-month probationary period to confirm fit, responsiveness, accuracy, and ability to manage the role independently.
