Remote | U.S. Business Hours | Customer Service + Sales + Project Coordination
Better Office Furniture is a U.S.-based commercial office furniture dealership looking for a proactive, highly organized remote team member to help take excellent care of our customers and keep sales opportunities and furniture projects moving forward.
This is not a passive virtual assistant or data-entry position.
We need someone who communicates confidently with customers, follows up without being reminded, solves problems, and takes ownership of tasks through completion.
This position is initially for temporary coverage while a current team member is unavailable, but there may be an opportunity for continued employment for an exceptional candidate.
SCHEDULE & COMPENSATION
Preferred Schedule: Monday-Friday, 9:00 AM-5:00 PM U.S. Central Time
Preferred Hours: 40 hours per week
Target Starting Budget: US$100 per week
Our preference is someone who can consistently work the full schedule above. However, we are willing to consider an exceptionally qualified candidate for fewer hours or a different compensation arrangement, particularly someone with directly relevant commercial furniture, estimating, sales, or project coordination experience.
For someone who becomes a strong long-term member of our team, there is an opportunity for a performance and compensation review after 90 days.
WHAT YOU’LL DO
You will help move customers and projects from initial inquiry and estimate through ordering, delivery, installation, and follow-up.
Responsibilities include:
* Responding to customer
* Answering incoming business and customer phone calls
* Making outgoing calls to customers, vendors, manufacturers, and installers
* Following up on estimates and helping move opportunities toward a sale
* Researching furniture products, specifications, and pricing using manufacturer catalogs and price lists
* Preparing and sending customer estimates in QuickBooks
* Coordinating estimate revisions, product selections, pricing, and customer questions
* Communicating with manufacturers and vendors about pricing, availability, lead times, orders, shipping, replacements, returns, and warranty issues
* Coordinating with delivery partners and installers
* Following up on missing information, delayed orders, and unresolved issues
* Helping resolve damaged, missing, incorrect, or delayed products
* Keeping clear notes about project status, next steps, deadlines, and outstanding items
* Identifying problems early and escalating them when needed
* Maintaining ownership of assigned tasks until they are completed or clearly handed off
COMMUNICATION & AVAILABILITY EXPECTATIONS
Strong communication, availability, and follow-through are essential in this position.
During your scheduled working hours, you are expected to:
* Be actively available to answer incoming customer and business phone calls throughout your shift
* Monitor Microsoft Teams and
* Acknowledge internal questions and assigned tasks promptly, generally within one hour
* Return any unavoidable missed customer calls promptly
* Make outgoing calls when a phone conversation is the fastest way to move a customer, quote, vendor issue, or project forward
* Let the team know when you will be unavailable for a scheduled break or other reason
* Communicate promptly if an internet, power, weather, or other issue prevents you from answering calls or remaining available
* Proactively follow up on open work rather than waiting to be reminded
* Keep customers informed, even when you are still waiting for a final answer
* Clearly communicate what has been completed, what remains open, and what happens next
We do not monitor every minute of your workday or expect constant keyboard activity. However, this is an active customer-facing position.
During scheduled working hours, you are expected to be working, reachable, and available to our customers and team. Extended periods of unavailability without communication are not acceptable.
WHO WE’RE LOOKING FOR
Excellent written and spoken English communication skills are required.
You will regularly communicate with U.S.-based customers and business partners by telephone, so you must be comfortable speaking clearly, warmly, confidently, professionally, and understandably in English.
You should also be willing to pick up the phone when a call is the fastest way to answer a question, follow up on a sale, solve a problem, or move a project forward.
Commercial office furniture experience would be a major advantage, particularly experience with:
* Commercial furniture dealerships or manufacturers
* Furniture specifications, catalogs, and price lists
* Customer estimates and sales follow-up
* Manufacturer and vendor coordination
* Orders, delivery, and installation
* Commercial furniture project coordination
* B2B customer service or sales
Experience with QuickBooks, HubSpot or another CRM, Microsoft Outlook, Teams, and Excel is helpful.
More importantly, you should be proactive, detail-oriented, comfortable talking with customers, able to manage multiple open items, and naturally ask:
“What needs to happen next to get this customer taken care of and move this project forward?”
