JOB OVERVIEW

We are currently looking for a Part-Time Medical Bookkeeper role for a growing health optimization and medical aesthetics clinic. The position focuses on bookkeeping, financial reporting, inventory reconciliation, and operational support within a medical or wellness environment.

The ideal candidate has experience working in med spa, pharmacy, wellness, veterinary, or other inventory-heavy medical settings and is highly detail-oriented, analytical, and proactive in identifying discrepancies and maintaining accurate records.

SHIFT
This is a part-time position with U.S. working hours.

KEY RESPONSIBILITIES

1. Bookkeeping & Financial Management
- Manage daily bookkeeping tasks and financial records
- Reconcile bank accounts, credit cards, and merchant accounts
- Categorize transactions and monitor expenses
- Prepare weekly and monthly financial reports
- Assist with payroll coordination and vendor payments
- Coordinate with CPA/accountant for reporting and taxes

2. Inventory & Medical Reconciliation
- Reconcile purchased, dispensed, used, and sold inventory
- Track injectables, supplements, pharmacy-related inventory, and consumables
- Investigate discrepancies instead of simply adjusting balances
- Monitor waste, shrinkage, expired products, and unusual variances
- Maintain accurate inventory reporting systems

3. Reporting & Operational Support
- Create reports and dashboards for leadership
- Prepare weekly operational and financial summaries
- Identify inconsistencies, trends, and operational risks
- Assist in improving SOPs and workflow systems
- Support scalable reporting processes for future growth

REQUIREMENTS
- Previous experience in bookkeeping within a medical, medspa, pharmacy, wellness, or similar environment
- Strong reconciliation and analytical skills
- Experience with inventory tracking and financial reporting
- Highly detail-oriented and organized
- Ability to work independently and proactively
- Strong English communication skills
- Experience with QuickBooks or similar bookkeeping software is preferred

NICE TO HAVE
- Experience in medical aesthetics or wellness clinics
- Familiarity with inventory-heavy businesses
- Experience creating dashboards or operational reports
