Corporate Secretary Assistant | Confidential Corporate Administration
About the Role
We are seeking a meticulous, trustworthy and professionally mature Corporate Secretary Assistant to support confidential corporate administration and corporate secretarial processes.
The role will involve preparing and maintaining accurate company records, organizing corporate documents, supporting recurring filings and document updates, and helping ensure corporate information remains complete, current and properly documented.
The successful candidate will work closely with founders, directors and external service providers. Given the sensitive and detail-driven nature of the role, we are placing particular emphasis on discretion, reliability, follow-through and exceptional attention to detail.
Key Responsibilities
• Prepare, organize and maintain confidential corporate documentation
• Maintain accurate corporate records, registers, archives and administrative files
• Assist with board resolutions, shareholder resolutions, certificates, forms, filings and other corporate documents
• Coordinate with founders and directors to obtain required information and documentation
• Liaise with corporate service providers, registered agents, notaries or other external providers where required
• Track recurring corporate administration requirements, filings, document updates and deadlines
• Support corporate secretarial and governance-related administrative processes under guidance
• Exercise discretion when handling sensitive corporate and personal information
Ideal Candidate Profile

The ideal candidate is calm, organised, structured and dependable. This role is best suited to someone who values accuracy, confidentiality, process integrity and well-maintained corporate records.

• Company service provider / corporate services work
• Corporate administration
• Governance administration
• Compliance or legal administration
• Wealth management, fiduciary, trust or regulated administration environments
Qualifications & Experience
• Experience in corporate secretarial work, corporate services, legal administration, compliance administration or confidential corporate administration preferred
• Corporate services experience would be a strong advantage
• Experience preparing, reviewing or maintaining company documents, resolutions, registers, filings or corporate records preferred
• Excellent organisation, follow-through and written communication skills
• Professional references from previous employers required
• NBI Clearance required
