We are a growing, high-volume California workers’ compensation defense law firm seeking a highly organized, experienced Legal Administrative Assistant / Deposition Coordinator to join our team.
This position is focused on deposition scheduling, legal calendaring, notices, follow-up, case support, and administrative coordination for a busy California workers’ compensation defense practice.
Prior California workers’ compensation experience is strongly preferred.
Responsibilities
Responsibilities may include:
* Scheduling applicant depositions
* Coordinating deposition dates with applicant attorneys and defense attorneys
* Scheduling court reporters
* Scheduling interpreters
* Preparing and sending deposition notices
* Confirming depositions before the scheduled date
* Calendaring depositions, hearings, QME examinations, deadlines, and follow-up dates
* Coordinating QME / AME appointments and related administrative tasks
* Preparing and sending routine legal correspondence
* Following up with applicant attorneys, court reporters, interpreters, medical offices, and vendors
* Requesting and following up on medical records
* Tracking outstanding records, reports, correspondence, and responses
* Uploading and organizing documents in the case-management system
* Creating and completing administrative tasks
* Monitoring attorney calendars
* Monitoring cases for upcoming deadlines
* Assisting with WCAB / EAMS administrative tasks
* Helping ensure that assignments are completed from beginning to end
* Providing administrative support to attorneys and other members of the legal team

We are specifically looking for someone who takes ownership of assignments.
For example, if you are asked to schedule a deposition, we expect you to follow the assignment through from beginning to end, including obtaining dates, coordinating the parties, scheduling the court reporter and interpreter if necessary, preparing the notice, calendaring the deposition, confirming the deposition, and following up on anything outstanding.

* Workers’ compensation hearings
* MerusCase
MerusCase experience is a major plus.
Candidates with strong U.S. litigation administrative experience may also be considered.
Schedule
This is a full-time, long-term position.

Availability overlapping with California / Pacific Time business hours is strongly preferred.
Compensation
Compensation will depend on experience, skills, and demonstrated knowledge of California workers’ compensation legal administration.
We are willing to pay more for a candidate who already understands California workers’ compensation procedures and can contribute with minimal training.
