We are seeking a highly organised and proactive National Operations Support VA to support our Operations team across multiple branches.
This is not a standard administration role. You will work closely with our National Operations Manager and State Operations Managers, helping monitor fleet compliance, operational performance, job documentation, scheduling pressures and day to day activities across the business.
The successful candidate will need to be confident following up outstanding actions, identifying issues before they become problems and communicating directly with managers and operational teams.
Working Days and Hours
This is a full time Tuesday to Saturday position.
The required shift is 8:30 am to 6:30 pm AEST, Tuesday to Saturday.
The shift includes:
One 15 minute break.
One 45 minute lunch break.
Breaks are to be taken at pre scheduled times to ensure consistent operational coverage throughout the day.
This equates to 45 working hours per week, excluding the scheduled breaks.
Tuesday to Friday will focus primarily on national operational monitoring, compliance, fleet management and reporting.
Saturday will have a greater focus on supporting live removal operations, responding to crew enquiries and ensuring Removal Contracts and operational documentation are properly completed.
Mandatory Prerequisites
Applicants must meet all of the following requirements to be considered for this role:
Previous experience working within the removals or logistics industry.
A practical understanding of operational environments, including scheduling, vehicles, crews, job movements and day to day logistics.
A dedicated work from home office or workspace suitable for full time professional work.
A workstation with a minimum of two computer screens.
A strong, stable and reliable internet connection capable of supporting cloud based systems, calls and online meetings throughout the working day.
Availability to work Tuesday to Saturday, 9:00 am to 7:00 pm AEST consistently.

Reporting To
The role reports directly to the National Operations Manager and works closely with our State Operations Managers nationally.
Key Responsibilities
Fleet and Compliance
Review daily vehicle inspection submissions and identify missing or incomplete inspections.
Report required follow up actions to the relevant State Operations Manager.
Monitor national fleet servicing requirements and upcoming service dates.
Coordinate servicing schedules between external mechanics and branch managers.
Monitor Container Weight Declaration requirements for container vehicles.
Prepare Safe Driving Plans for long distance removal work.
Coordinate quarterly depot inspections and report identified non conformances.
Operational Monitoring
Review branch calendars against available crews and vehicles to identify potential overbooking or capacity issues.
Raise concerns with Operations and respond to Sales enquiries regarding days where operational capacity appears tight.
Monitor permitted onsite times for fixed price and interstate removal jobs.
Notify field teams of expected job timeframes.
Identify and report jobs exceeding expected timeframes.
Assist with weekly branch performance scoring and operational reporting.
Crew Performance and Quality Control
Liaise with Operations Managers regarding employee and crew performance.
Maintain staff performance scores within our internal systems.
Review the previous day's completed jobs using a defined three point quality control process.
Check the quality and completeness of inventories and operational documentation.
Report identified quality issues to the relevant State Operations Manager.
Documentation and Systems Compliance
Monitor required forms submitted through our operational systems.
Check that the correct documentation has been completed for each job type.
Follow up missing or incomplete documentation.
Maintain accurate compliance records and escalate recurring issues.
Stock and Depot Support
Receive and review weekly stocktakes from branches nationally.
Identify stock shortages or unusual discrepancies.
Coordinate the supply of operational materials to branches where required.
Issue quarterly depot inspection requirements to each branch.
Highlight identified non conformances to the National Operations Manager.
Live Operations Support
Receive calls and enquiries from removal crews regarding jobs currently underway.
Assist with questions relating to job requirements, changes in scope and operational issues.
Record and communicate significant deviations to the relevant Operations Manager.
Assist removal crews with operational questions and escalation requirements.
Close completed Removal Contracts on Saturdays.
Ensure outstanding Saturday documentation and operational requirements are completed.

What Success Looks Like
You will become an important second set of eyes for our National Operations team.
Your role is to help ensure vehicles remain compliant and properly maintained, required documentation is completed, jobs are operating within expected parameters, branches have the equipment they require and potential operational issues are identified early.
We are looking for someone who takes ownership, follows matters through to completion and is comfortable working in a fast moving operational environment.
