READ THIS WHOLE POST BEFORE APPLYING
We run on systems and SOPs. Following instructions exactly, the first time, is the single most important trait for this role. The application steps at the bottom are part of the test. Applications that skip them will not be reviewed. (This is on purpose; it saves us both time.)
ABOUT THE ROLE
We are a small, systemized home-service business. Our day-to-day customer flow is light (only a few new leads a day), so this is NOT a phones-all-day customer-service seat. This is a project and operations role. The bulk of your week is executing projects that move the business forward, with a small amount of customer communication mixed in.
You will own projects from start to finish: we hand you a documented process or a Loom video, you follow it precisely, work quickly, and come back with it DONE, not half-done and full of questions. When something is unclear, you ask the right question up front instead of guessing.
We use AI tools (ChatGPT / Claude) heavily to speed up and build workflows, and we want someone excited to use them too.
WHAT YOU WILL ACTUALLY DO (PROJECT-HEAVY)
- Execute 2 to 3 project tasks per day from our master plan and report progress clearly
- Build and improve simple workflows and automations (Zapier, CRM automations, AI-assisted processes)
- Create marketing assets: flyers, before/after graphics, postcards and EDDM designs (Canva) and short video edits (CapCut)
- Keep data clean and accurate: KPI dashboards, lead tracker, reporting cleanup (Google Sheets)
- Manage social and local SEO tasks: Google Business Profile posts,
- Light customer communication as needed: responding to leads by text and
- Vendor and contractor research projects (comparing tools, sourcing creators and subs, etc.)
WHO YOU ARE (THIS MATTERS MORE THAN THE TOOL LIST)
- Fast. You finish a 30-minute task in about 30 minutes, not an hour. Efficiency is something you take pride in.
- Independent. You can take a documented process and run it end-to-end without being chased or re-explained to.
- A precise instruction-follower. You do 100 percent of an SOP, not 80. Small details (subtitles, correct pricing, the last step) do not get dropped.
- Great at juggling. You can hold several projects at once without letting things slip through the cracks.
- Proactive. You flag problems early with context and ask smart questions before acting on something unclear.
- Detail-oriented. You catch your own mistakes before they reach the manager.
EXPERIENCE AND TOOLS
Required:
- 2 or more years as a VA, operations, or project assistant, ideally for a U.S.-based service business
- Strong written and spoken English (you will occasionally talk to U.S. customers)
- Comfortable with Canva and basic video editing (CapCut or similar)
- Comfortable in Google Sheets and learning a CRM
- Confident using ChatGPT or Claude to work faster
- Reliable computer, fast internet, and a power and internet backup plan
Nice to have (call these out if you have them):
- Experience with a field-service CRM (Markate, Housecall Pro, Jobber, ServiceTitan, GoHighLevel, etc.)
- Zapier or automation building
- Meta and
- Home-service or exterior-cleaning industry experience
- Local SEO or Google Business Profile experience
WHAT WE OFFER
- Long-term, stable part-time work with a supportive owner
- Real ownership of interesting projects (not mind-numbing data entry all day)
- Performance bonuses and rate increases as you prove yourself
- A business that runs on clear systems, so you always know what good looks like
HOW TO APPLY (FOLLOW EVERY STEP EXACTLY)
1. Apply by
2. Start your message with the word SPARKLE so we know you read the entire post.
3. Answer these three questions briefly:
a. Describe one project you ran from start to finish on your own. What was the outcome?
b. Tell us about a tool, automation, or workflow you built or improved to save time.
c. When you are juggling several tasks at once, how do you make sure nothing gets dropped?
4. Include a recording (required). Preferably a short video, 60 to 90 seconds, any tool (Loom, screen recorder, even your phone), introducing yourself and walking us through a process or task you have completed. If you truly cannot do video, a voice recording of the same is accepted. We want to hear your English and how clearly you explain your thinking.
5. Attach ONE design sample you made yourself: a flyer, before/after graphic, postcard, or similar.
6. State your available hours in U.S. Eastern Time and confirm you can work part-time (25 to 30 hours per week) long-term.
Note: Finalists will complete a short PAID test task before any final interview. Please only apply if you are able to do a brief paid trial. It is the fairest way for both of us to see if it is a fit.
We review applications that follow all six steps first. Looking forward to meeting our next team member.
