ABOUT THE ROLES
Logic Minds is seeking an experienced and proactive Vendor Management & Transactional Procurement staff to join our team in a work-from-home capacity.
This role will be responsible for managing and strengthening relationships with suppliers and vendors while ensuring Logic Minds consistently achieves the best combination of cost, quality, service, reliability, and value.
This is a hands-on role that requires someone who is highly organised, process-driven, and confident in communicating with both vendors and senior stakeholders.
The successful candidate will work closely with suppliers, internal stakeholders, customers, and senior executives to ensure vendor relationships are effectively managed, and that agreed standards, pricing, service levels, and quality requirements are consistently met.
The ideal candidate will also be comfortable working independently from home, managing competing priorities, identifying issues before they become problems, and taking ownership of finding practical solutions.

KEY RESPONSIBILITIES
1. Vendor & Supplier Relationship Management
• Develop and maintain strong, professional relationships with vendors and suppliers.
• Act as a key point of contact for vendor-related matters.
• Communicate regularly with suppliers to maintain strong working relationships and ensure expectations are clearly understood.
• Manage supplier queries, concerns, escalations, and service issues promptly and professionally.
• Build long-term supplier partnerships aligned with Logic Minds’ business objectives.
• Ensure suppliers understand and consistently meet agreed requirements and expectations.
2. Pricing, Quotes & Cost Management
• Source and obtain competitive supplier pricing, quotes, and proposals.
• Review supplier pricing and identify opportunities to reduce costs and improve value.
• Assist with price negotiations and commercial discussions with suppliers.
• Compare supplier quotes and assess overall value, not simply price.
• Monitor pricing changes and identify opportunities for savings.
• Maintain accurate records of pricing, quotes, supplier agreements, and relevant commercial information.
• Support Logic Minds’ objective of reducing clients’ expense bases through effective supplier management.
3. Vendor Performance & Quality Management
• Monitor supplier performance against agreed expectations, service levels, quality standards, and delivery requirements.
• Identify recurring vendor performance issues and implement appropriate corrective actions.
• Follow up with suppliers to ensure issues are resolved within agreed timeframes.
• Escalate significant or ongoing supplier issues to management when required.
• Maintain accurate vendor performance records and documentation.
• Ensure quality is never compromised in the pursuit of cost savings.
4. Vendor Compliance & Process Management
• Ensure vendor documentation, agreements, pricing, and other relevant records are current and accurately maintained.
• Assist in implementing and maintaining effective vendor management processes and controls.
• Ensure vendor-related procedures are followed consistently.
• Identify process gaps, inefficiencies, and risks and recommend improvements.
• Help develop scalable processes that can support the future growth of Logic Minds and its clients.
• Maintain organised and accurate vendor records and documentation.
5. Reporting & Data Management
• Maintain accurate vendor databases, spreadsheets, reports, and records.
• Prepare regular reports relating to supplier performance, pricing, costs, savings, and other relevant vendor metrics.
• Use Excel to analyse vendor data and identify trends, discrepancies, cost-saving opportunities, and areas for improvement.
• Ensure vendor information is accurate, current, and easily accessible.
• Provide management with clear and concise information to support decision-making.
6. Customer & Stakeholder Communication
• Work closely with internal stakeholders and customers to understand vendor-related requirements.
• Respond promptly and professionally to customer and stakeholder requests.
• Communicate effectively with Australian clients and senior executives.
• Manage sensitive or complex vendor and customer matters with professionalism and sound judgement.
• Ensure customer needs are respected, responded to, and acted upon in accordance with the Logic Minds values.
7. Continuous Improvement & Problem Solving
• Proactively identify opportunities to improve vendor management processes.
• Investigate issues and determine practical, sustainable solutions.
• Look beyond immediate problems to identify root causes and prevent recurrence.
• Recommend improvements to supplier processes, controls, and workflows.
• Support the ongoing development of efficient, scalable, and future-proof vendor management systems.

Customer Service & Australian Client Experience
• Previous experience in customer service, account management, vendor management, procurement, administration, or similar role is given a priority.
• Demonstrated experience working directly with Australian clients or businesses.
• Strong understanding of professional expectations when dealing with Australian customers and stakeholders.
• Proven ability to manage customer and supplier relationships professionally.
Excel & Data Management
• Excellent Microsoft Excel skills are essential.
• Ability to confidently manage, analyse, organise, and report on large amounts of information.
• Strong attention to detail when working with spreadsheets, pricing, supplier data, and reports.
• Ability to use Excel to identify trends, discrepancies, and opportunities for improvement.
Vendor Management
• Experience managing suppliers, vendors, contractors, or external service providers.
• Experience handling supplier communication, quotes, pricing, negotiations, performance, and issue resolution.
• Strong ability to balance cost, quality, service, and supplier relationships.

• 8:30am – 5:00pm Melbourne time (equivalent to 6:30 am – 3:00 pm Philippine time, subject to seasonal daylight savings changes)

Salary
o Probation 3-month period: 23,000 pesos
o After probation: 25,000 pesos
o Pay Cycle: 15th to 16th of each month, with salary paid on the 15th.
o Annual Increase: 1,000 PESO anniversary date
o Bonus: Additional Month Salary each DECEMBER (pro-rata).
Note: 13th month bonus is only applicable to staff who are still with the company on month of December.
