We are a fast-growing U.S.-based IT solutions company seeking a detail-oriented and proactive Operations Coordinator to join our team. This role supports the Operations team by keeping assigned field-service projects and work orders moving from planning through completion. The position coordinates technicians, clients, vendors, travel, materials, schedules, and project information; identifies risks early; and takes practical action to resolve issues within established guidelines.
This is a high-autonomy individual-contributor role with enhanced operational ownership. Success requires more than receiving and completing assigned tasks. The coordinator investigates, proposes solutions, communicates directly—often by phone—and follows each assigned issue through to a documented resolution.
Key responsibilities
Project and field operations coordination
· Coordinate multiple field-service projects and work orders from preparation through completion, maintaining visibility of scope, deadlines, dependencies, owners, and next actions.
· Arrange or support procurement and delivery of required materials, verify status, and address delays before they affect the client or field team.
· Monitor project progress and deliverables, challenge unclear or incomplete information, and follow up until commitments are closed.
Problem-solving and decision-making
· Investigate issues by gathering facts, identifying the root cause, evaluating options, and recommending or implementing the best practical solution.
· Make timely decisions within approved playbooks and authority limits, considering client impact, safety, cost, schedule, service quality, and operational risk.
Client, vendor, and technician communication
· Serve as a primary operational contact for clients, vendors, and field technicians through phone, email, and collaboration platforms.
· Initiate calls when a live conversation will resolve an issue faster, reduce misunderstanding, or protect the client experience.
· Manage difficult or time-sensitive conversations calmly; clarify expectations, agree next steps, confirm ownership, and document outcomes.
· Provide proactive status updates and communicate risks or changes before stakeholders need to ask.
Operational discipline and improvement
· Maintain complete and accurate project records, service confirmations, purchase details, communications, and follow-up items in company systems.
· Use trackers, calendars, task-management tools, and escalation routines to manage competing priorities without relying on memory.
· Identify recurring friction, document evidence, and propose practical improvements; support approved changes to workflows, templates, checklists, and operating procedures.
What success looks like
· Field activities are planned accurately and confirmed before technicians travel or arrive on site.
· Operational problems are identified early, assessed logically, and driven to resolution with minimal avoidable escalation.
· Schedules, commitments, materials, travel details, project records, and outstanding actions remain current and reliable.
· Recurring issues are documented and raised with practical improvement suggestions.
Required qualifications
· At least three years of experience in project coordination, operations coordination, service delivery, field operations, logistics, implementation, or a comparable role involving multiple stakeholders and deadlines.
· Demonstrated experience independently resolving operational or project problems—not only receiving and completing assigned tasks.
· Strong spoken and written English, with the confidence and professionalism to conduct frequent phone conversations with clients, vendors, and field technicians.
· Ability to manage several active projects, changing priorities, detailed records, and time-sensitive commitments with limited supervision.
· Strong problem-solving skills with the ability to adapt quickly and learn new systems.
· Proficiency with Microsoft Office and modern collaboration, project-tracking, or task-management tools.
· Reliable high-speed internet, a backup connectivity/power plan, and a dedicated, distraction-free home office.
· Ability and willingness to work a consistent U.S. Eastern Time schedule, including the corresponding overnight hours in the Philippines and U.S. daylight-saving time changes.
Preferred qualifications
· Experience in IT services, telecommunications, construction, logistics, field services, technical support operations, or another environment coordinating distributed resources.
· Experience coordinating technician dispatch, travel, procurement, materials, vendors
· Working knowledge of Agile or Scrum methodologies, with experience using iterative planning, visual workflow management, regular prioritization, retrospectives, or similar practices to coordinate work and improve delivery.
· Experience using Odoo ERP or a comparable ERP/service-management platform.
· Experience improving a workflow, building a tracker or standard operating procedure, or introducing a process that reduced delays or errors.
