We are seeking an experienced, detail-oriented Commercial Conveyancing Paralegal to manage and support end-to-end commercial property transactions.
In this role, you will work closely with senior property lawyers on a wide range of conveyancing matters, including commercial acquisitions and sales, multi-lot/mixed-use developments, business assets, FIRB-related property transactions, and complex title dealings. You will be responsible for driving files forward from initial contract review through to PEXA workspace management and final settlement.
Key Responsibilities:
- End-to-End Transaction Management: Prepare, manage, and settle commercial property files (acquisitions, dispositions, and off-the-plan/development matters) from initial contract review to post-settlement compliance.
- Contract & Due Diligence Support: Assist lawyers with review of contracts, special conditions, seller disclosure packs (including compliance with QLD Seller Disclosure Scheme requirements, body corporate disclosure, Form 2/Form 33/34 requirements, etc.), and title search analysis.
- Property Searches & Inquiries: Order and analyse due diligence searches (rates, land tax, water, planning/zoning, body corporate, contamination, and regulatory registries).
- Financial & Settlement Calculations: Draft, review, and finalize settlement statements, transfer duty calculations, tax adjustments, and payout figures.
- PEXA Workspace Management: Prepare, build, coordinate, and execute electronic settlements using PEXA, ensuring seamless alignment with financial institutions, counterparty legal teams, and State Revenue Offices.
- Client & Stakeholder Communication: Maintain clear, proactive, and transparent communication with clients, real estate agents, brokers, financiers, and counterparties to ensure key dates and conditions (finance, due diligence, settlement) are strictly tracked and met.
- Leasing & Business Transaction Assistance: Assist with ancillary property matters, including commercial lease executions, license agreements, and business asset purchases/sales as required.
- File & Regulatory Compliance: Conduct Verification of Identity (VOI) processes, Foreign Investment Review Board (FIRB) application administrative tasks, and ensure complete file compliance.
Skills & Qualifications:
- Solid experience 2-3 years in ideally Queensland commercial real estate and commercial leasing matters
- Drafting experience in deeds, leases, licences, and relevant commercial real estate documents;
Experience in commercial real estate transactions;
- Interstate experience in commercial real estate is a bonus but not necessity.
- Technical Proficiency: Hands-on experience with PEXA, duty portals (e.g., QRO Online / Duties Online), practice management software, and electronic legal workflows.
- Legal Knowledge: Sound understanding of Queensland conveyancing procedures, statutory seller disclosure regimes, body corporate frameworks, and commercial land transaction requirements.
- Commercial Mindset: Ability to balance technical accuracy with practical efficiency, maintaining high attention to detail while prioritizing high-volume workflow deadlines.
