# Job Description
We are a small U.S.-based HVAC Independent Testing, Adjusting, and Balancing (TAB) company looking for a reliable, creative, part-time Marketing & Document Design Virtual Assistant.
I am looking for someone who is highly skilled in Microsoft Word, PowerPoint, and Canva and who has a strong eye for professional design and formatting.
You will help create, improve, and format:
* Microsoft Word documents, reports, and Statements of Qualifications (SOQs)
* Professional PowerPoint presentations
* Excel spreadsheets, tables, charts, and organized data
* Marketing flyers and one-page sales sheets
* Brochures and other marketing materials
* LinkedIn and social media graphics
*
* Conference and trade-show materials
* Reusable Word, PowerPoint, Excel, and Canva templates
* Existing company materials that need to look more polished and professional
Our customers include Directors of hospitals, healthcare facilities, and engineers. Our materials need to look clean, modern, professional, credible, and sophisticated — not flashy, cluttered, or overly sales-oriented.
I need someone who can take rough information, existing documents, photos, logos, written content, and basic ideas and turn them into polished, professional materials without needing detailed instructions for every design decision.
Because much of our work is within healthcare facilities, some projects may involve researching and creating materials related to **The Joint Commission (TJC) and DNV accreditation standards ** and ASHRAE, including standards and requirements relevant to HVAC systems, ventilation, indoor air quality, testing and balancing, and facility compliance. Prior knowledge of these standards is not required, but you must be comfortable researching technical information, following reliable sources, and turning complex information into clear, professional marketing and educational materials.
REQUIRED SKILLS:
Strong Microsoft Word skills, including professional formatting, styles, tables, headers/footers, templates, page layouts, and table of contents
Strong Microsoft PowerPoint presentation and design skills
Strong Microsoft Excel skills, including formulas, formatting, tables, sorting/filtering, charts, and organizing data
Excellent Canva skills
Strong graphic design and layout judgment
Excellent written and spoken English
Excellent attention to detail
Ability to follow and maintain a consistent company brand
Ability to create reusable templates
Reliable communication and ability to meet deadlines
Comfortable using AI tools such as ChatGPT when helpful
TEACHING IS ALSO IMPORTANT:
I want someone who is patient and comfortable teaching me how to become better at Word, PowerPoint, Excel, and Canva. At times, I may ask you to screen-share with me through Zoom or Microsoft Teams and walk me through how you completed a task so I can learn to do similar things myself.
Experience creating materials for B2B companies, healthcare, engineering, construction, HVAC, or other technical/professional businesses is a major plus.
This position will begin at approximately 5–10 hours per week, with the possibility of additional hours and responsibilities if we work well together.
