Construction Admin & MYOB Job Costing VA
We are an Australian demolition, excavation and civil works company looking for a reliable, switched-on Virtual Assistant to help manage our MYOB administration, invoicing, job costing and general project administration.
This is intended to become an ongoing position for the right person.
Main Responsibilities
You will assist with:
* Creating and sending customer quotes in MYOB
* Creating progress claims and invoices
* Entering supplier invoices and expenses
* Allocating costs to the correct project/job
* Maintaining accurate job costing records
* Tracking labour, subcontractors, plant hire, truck hire, tipping fees and materials
* Comparing quoted costs against actual job costs
* Tracking variations and additional works
* Monitoring outstanding and overdue invoices
* Maintaining supplier and subcontractor records
* Organising receipts, invoices and project documentation
* Preparing simple weekly job profitability reports
* General construction administration

For each project, we want to clearly see:
Original Contract / Quote Value
Approved Variations
Total Revenue
Labour Costs
Plant & Equipment Costs
Subcontractor Costs
Waste / Tipping Costs
Materials & Other Costs
Total Actual Cost
Gross Profit
Gross Margin %
You must be comfortable receiving information from us in a practical construction format and turning it into organised job-costing records.
For example:
Excavator – 3
Float – $350
Labour – 2 men × 8
Truck – $400/day
Dirt disposal – 25
Dumper hire – $198/day
You should be able to correctly calculate, record and allocate these costs to the appropriate project.
Required Experience
Applicants should have:
* Strong MYOB experience
* Experience with invoicing, quotes and accounts payable/receivable
* Good Excel or Google Sheets skills
* Strong numerical ability and attention to detail
* Good written English
* Excellent organisation
* Ability to work independently
* Reliable internet connection
Experience working with an Australian construction, demolition, excavation, civil or trade business is highly desirable.
Previous construction job-costing experience will be strongly preferred.
What We’re Looking For
We want someone who takes ownership of their work.
If something doesn’t reconcile, we want you to investigate it rather than simply enter the numbers.
If a supplier invoice doesn’t identify which project it belongs to, flag it.
If actual costs on a project are approaching or exceeding the allowance, tell us.
If a customer invoice becomes overdue, flag it.
The goal is to give management an accurate picture of what every project is costing and whether it is making money.

Shortlisted Applicant Test
Shortlisted applicants will be given a small paid job-costing exercise before appointment.
The exercise will involve taking a sample construction project with labour, machinery, disposal and subcontractor costs and producing a simple job-cost report showing:
* Revenue
* Total costs
* Cost categories
* Gross profit
* Gross margin
* Any errors or missing information they identify
We are looking for accuracy, initiative and attention to detail — not just data entry.
