About the role:
We're looking for a sharp, dependable Front Desk & Virtual Assistant to support the daily operations of a busy US hair salon. You'll be the friendly voice and text response for the clients answering calls, booking appointments, and handling day-to-day communication like a front desk receptionist would, just remote. This is a client-facing role, so strong spoken and written English is essential. We will bring a sales based attitude to the phone without being obnoxious and upsetting customers. Subtle upsells, demand routing, selling packages, promotions all part of the job on the phones.
What you'll be doing:
Answering inbound calls and texts from salon clients — booking, rescheduling, and answering service questions using our provided reference materials (you will commit these to memory over time)
Managing appointments in Square (our booking/POS system)
Sending and responding to client messages through our CRM (High Level)
Making outbound calls for reminders, win-back outreach, and follow-ups.
Basic video editing (social content, promotional clips training provided if needed)
Other administrative and marketing support tasks as the role grows.
What we're looking for:
Excellent spoken English — clear, warm, professional phone manner
Strong written English for texting and
Comfortable on the phone with customers, not just typing
Reliable internet and a quiet space for calls
Prior customer service, front desk, salon/spa, or hospitality experience is a strong plus
Basic video editing skills (CapCut, Canva, or similar) — not required to be expert-level

Answer all of these questions in detail.
1. Please run a speed test (e.g. speedtest.net) on the device/connection you'd actually work from, and send a screenshot of the download/upload results.
2. If your power or internet goes out, do you have a backup (mobile data, nearby co-working space, etc.)?
3. Do you have a quiet, private space to take calls? A quick photo of your workspace would help.
4. Do you have a headset you'd use for calls?
5. Are you currently working or in school? If working, how much notice would you need to give before starting with us?
6. Any regular weekly commitments (classes, other job, family obligations) that would conflict with US business hours (night shift, PH time)?
7. Have you worked night/graveyard shift hours before? How did that go for you?
8. Have you used Square (booking/POS) or GoHighLevel (CRM) before? No worries if not — just curious.
9. Tell me about a time you handled an upset or difficult customer. What did you do?
10. Attach a video of you with your eyes closed (so I know you are not reading a script) explaining your breakfast this morning, what did you have how did you like it also use the mic/headset you will be using for work so I can hear the quality. (This might seem a little silly, but rest assured its just to understand your natural speaking voice and mic quality)
11. Can you make basic video edits like this?
We're building something real and growing fast, this is a genuine opportunity for someone who wants to grow with a business, not just complete tasks. Somewhere in your reply, work in the word "pineapple" so I know you read the whole thing. This job is not difficult once trained. Just need to be present and attentive. Real upward mobility will be present for high performers. Thank you for your time
