Havenridge Incorporated is seeking an experienced Senior Personal Injury Litigation Case Manager to support a U.S. personal injury law practice.
This is NOT an entry-level legal assistant or virtual assistant position. We are looking for someone with substantial, hands-on experience managing U.S. Personal Injury litigation matters after a Complaint has been filed.
Applicants whose experience is primarily intake, medical records retrieval, pre-litigation administration, customer service, or general virtual assistance should not apply.
The person selected for this position must be capable of entering an active litigation environment, reviewing existing matters, identifying outstanding tasks and deadlines, and independently moving cases forward with limited supervision.
CLIO EXPERIENCE IS REQUIRED. You must have actual professional experience using Clio Manage in a U.S. law firm. Familiarity from demonstrations, training courses, tutorials, or personal study does not qualify.
RESPONSIBILITIES
• Manage an active caseload of Personal Injury litigation matters from filing through resolution
• Review existing case files and independently identify outstanding tasks, deficiencies, and next steps
• Maintain accurate and complete matters within Clio Manage
• Track court dates, statutory deadlines, discovery deadlines, depositions, mediations, hearings, and other litigation events
• Create and maintain attorney calendar events and deadline reminders
• Prepare, organize, and assist with pleadings, motions, notices, discovery, discovery responses, subpoenas, and other litigation documents
• Draft and prepare documents from firm templates and attorney instructions
• Coordinate electronic filing and service of litigation documents
• Monitor incoming discovery and ensure responses are completed before deadlines
• Communicate directly with clients regarding discovery, documents, appointments, case requirements, and case status
• Communicate professionally with opposing counsel, insurance representatives, medical providers, experts, vendors, and court personnel when required
• Obtain, review, organize, and maintain medical records, medical bills, liens, employment records, police reports, and other evidence
• Maintain organized electronic litigation files and ensure documents are properly named, uploaded, categorized, and accessible
• Assist attorneys with deposition, mediation, arbitration, and trial preparation
• Follow up independently on outstanding assignments rather than waiting to be reminded
• Maintain detailed case notes documenting activity and outstanding issues
• Escalate attorney-level issues promptly while independently handling matters within the scope of the position
• Work within established workflows while adapting to changing priorities and urgent litigation needs
MINIMUM REQUIREMENTS
• Professional experience working for a U.S. Personal Injury law firm
• Substantial hands-on litigation experience
• Previous responsibility for managing active litigation matters—not simply assisting another case manager with isolated tasks
• Professional experience using Clio Manage
• Experience tracking litigation deadlines and attorney calendars
• Experience with discovery and litigation document preparation
• Experience communicating directly with U.S. clients
• Strong written and spoken English
• Strong organizational skills and extreme attention to detail
• Ability to manage multiple active cases and competing deadlines
• Ability to work independently without continuous supervision
• Reliable computer, high-speed internet connection, and professional remote workspace
• Availability during required U.S. Central Time working hours

• You require step-by-step supervision to determine what needs to happen next on a case
• You are applying based primarily on general VA, customer service, or administrative experience
HIRING PROCESS
Candidates who meet the initial requirements may be asked detailed questions regarding their litigation experience before advancing.
Finalists will participate in a paid training and practical evaluation period. Candidates will be evaluated on actual work performance, including accuracy, litigation knowledge, organization, judgment, ability to follow instructions, ability to identify outstanding issues, and ability to work independently.
