Job overview
We're a fast-growing digital marketing agency looking for a hands-on accountant/bookkeeper who keeps immaculate books and is relentless about getting our money in the door.
This is a doing role, not a supervising one. You reconcile, you code, you invoice, you chase, you close the month. If an invoice is three days overdue, you're already on it — you don't wait to be asked, and you don't get uncomfortable following up until it's paid.
You'll report directly to the founder, who currently does all of this himself.
About us
OPT Digital is a Wellington, New Zealand-based agency helping local trades and home service businesses grow through search — across New Zealand, Australia, and the United States. We've grown quickly into a seven-figure run rate, we operate in three currencies (NZD, USD, AUD), and our goal by the end of 2026 is to be the most trusted name in Local SEO for service businesses in our markets.
One thing that makes us different: we build our own internal tools. Every department at OPT runs on custom dashboards and automations we've built in-house, and finance will be no exception — you tell us what would make your job faster, and we build it with you.
Why this role exists
Right now the founder is doing the reconciliation, the invoicing, the chasing, and the payroll himself. That's a bottleneck, and it's costing us money — invoices go out late, overdue accounts sit longer than they should, and the books lag behind the business.
We need someone to take that off his plate completely and run it tighter than he does.
What you'll own
1. The books. Day-to-day bookkeeping and reconciliation in Xero across bank feeds, Stripe, and other payment platforms. Accurate, consistent transaction coding — every time, not most of the time. Rebuilding and maintaining a chart of accounts that reflects how the business actually operates, so the reporting means something. A disciplined month-end close on a fixed rhythm. The books never fall behind.
2. The cash — this is the part we care most about. Accounts receivable end to end. Invoices prepared, QA'd with the relevant account manager, and out on time. Overdue invoices chased the day they slip — politely the first time, firmly after that, and persistently until the money lands. You track every open account, you know exactly who owes what and how long it's been, and nothing quietly ages out because it was awkward to follow up. You coordinate with account managers so billing disputes get resolved instead of stalling.
We also need payroll for employees and contractors across multiple countries run correctly, on time, and reconciled back to the books.
3. The reporting. P&L, balance sheet, and cash flow reporting at month-end and on demand. Basic cash flow forecasting maintained and reviewed with the founder. Spend tracked across the chart of accounts, with a heads-up when something is drifting — overspend, margin slipping, a cash pinch point coming. When something looks off, you say so early and plainly.
Who this role is for
4+ years in bookkeeping or accounting, ideally for a business (or clients) doing seven figures annually
Deep, current, hands-on Xero expertise — reconciliation, coding, chart of accounts, payroll, reporting. This is non-negotiable
Rock-solid fundamentals: double-entry, accruals, and a genuine understanding of how the numbers connect
You've run payroll yourself, end to end, and reconciled it accurately
You are genuinely comfortable chasing money. You'll be sending follow-ups, making calls, and holding the line on overdue accounts with US, AU, and NZ clients. If collections make you uneasy, this isn't the seat
Clear, confident written and spoken English — you'll be on calls with account managers and, at times, directly with clients about their accounts
Organised and self-directed. You work with a founder, not a manager, and you don't need chasing yourself
Bonus: CPA/CA qualification, NZ or AU accounting/payroll/tax experience, or multi-currency work across NZD, USD, and AUD
What we offer
$1,200–$1,800 USD/month depending on experience — we'll go above the band for a qualified CPA/CA
13th month pay
HMO allowance after your probation period
Paid time off plus paid Philippine public holidays
Fully remote — work from anywhere in the Philippines
Direct access to the founder
Custom tools and automations built around your role
A finance function that is yours to own and shape as we scale
How to apply
We read every application that follows these instructions — and we skip every one that doesn't.
Use the subject line: ACCOUNTS — [Your Name]
Answer these three questions (a few sentences each is fine):
Walk us through your month-end close in Xero, step by step, as you actually run it.
Tell us about the most stubborn overdue invoice you've collected. How long was it outstanding, what did you actually do, and how did it end?
Describe a chart of accounts you've built or restructured. What was wrong with it before, and what did you change?
Optional but strongly encouraged: include a short Loom or video (2–3 minutes) introducing yourself and walking us through your Xero experience. Applicants who do this go to the top of the pile.
We're reviewing applications now and will move quickly with the right candidates.
