We are looking for a detail-driven Finance & Operations Analyst to take ownership of financial reporting, analysis, and operational finance oversight for a growing Australian ecommerce business.
This is a full-time, long-term role.
Right now, much of this reporting, oversight, and analysis sits with the founder. This role exists to take that responsibility over and turn it into a structured, reliable process. You will produce monthly performance reporting, analyse product-level profitability, track refunds and disputes, oversee outgoing payments and customer withdrawals, calculate commission and bonus payments, and support treasury across multi-currency accounts.
This is not a day-to-day bookkeeping or tax compliance role. We already have an accounts team and external accountants handling those functions. Your role sits above the transaction-processing layer: analysing results, verifying financial activity, investigating discrepancies, and giving management a clear view of how the business is actually performing.
You should be comfortable investigating why a number moved, not just reporting that it did.
Responsibilities:
Monthly Reporting & Analysis
- Own the monthly management reporting pack, bringing together product performance, margins, marketing spend, refunds, disputes, payment costs, commissions, cash positions, and other key financial metrics into one clear report for management
- Prepare monthly product-level performance reports covering revenue, cost of goods, marketing spend (Google Ads, Meta Ads), refunds, relevant transaction costs, and contribution margin
- Track and report refund volumes, refund rates, dispute counts, dispute win rates, and month-on-month trends
Investigate and explain notable movements. Don’t just report the “what,” explain the “why”
- Build and maintain repeatable spreadsheets, dashboards, and trackers so recurring reports can be produced accurately and consistently each month
Financial Oversight & Controls
- Review outgoing payments and customer withdrawals processed by the accounts team, checking that amounts are correct, properly documented, and consistent with internal systems and approvals
- Maintain regular oversight of withdrawal activity and flag unusual patterns, discrepancies, duplicate payments, missing records, or process issues
- Review the monthly P&L in Xero, investigate material changes or unusual expense movements, and raise anything requiring management attention
- Monitor payment processing costs, dispute fees, FX costs, and other transaction-related expenses, highlighting material changes or opportunities to reduce costs
Commission & Bonus Administration
- Maintain agreed commission and bonus structures across relevant teams and calculate monthly entitlements according to the applicable rules
- This may include product-based commissions, influencer performance incentives, dispute-win bonuses, and other performance-based compensation
- Prepare accurate payment schedules with supporting calculations and coordinate with the accounts team for payout
Investigate and resolve calculation discrepancies and maintain clear records showing how each payment was determined
- You calculate and verify; the accounts team executes the payments
Treasury Support
- Monitor foreign currency balances, including GBP, EUR, CAD, USD, and AUD, across company accounts
- Identify excess foreign currency balances requiring conversion and coordinate conversions or withdrawals in accordance with company guidelines
- Maintain visibility over cash positions across major accounts and flag unusual balances, movements, or upcoming liquidity requirements
- Assist with maintaining an efficient process for managing foreign currency balances as the business grows
Process & Documentation
- Document workflows and processes as you learn them, building a clear finance operations playbook
- Maintain organised records supporting recurring reports, commission calculations, financial checks, and other responsibilities
- Identify repetitive or inefficient processes that could be improved, standardised, or automated
Role Scope
This role does not involve lodging tax filings or day-to-day bookkeeping. The accounts team executes payments and handles transaction processing, while our external accountants handle tax and compliance.
Your responsibility is analysis, verification, reporting, financial oversight, and raising issues to management.
You will not be expected to operate as a CFO, Financial Controller, or senior accountant. This is a hands-on analyst role focused on giving management accurate financial visibility and ensuring recurring finance processes are being completed correctly.
Required Experience
- 2+ years in a financial analyst, reporting, FP&A, finance operations, or similar analytical finance role
- Accounting or bookkeeping experience is valuable, but you must be able to demonstrate analysis and reporting work, not only transaction processing
- Advanced Excel / Google Sheets skills, including building clean, repeatable reports and trackers from raw data
- Working knowledge of Xero or a similar accounting platform, enough to read a P&L and investigate individual expense lines
- Strong attention to detail. You catch the small discrepancy nobody else noticed
- Able to investigate unclear numbers rather than accepting them at face value
- Comfortable working independently with recurring monthly responsibilities and deadlines
- Reliable, organised, and comfortable raising issues proactively
- Strong written English communication. Your reports need to be clear and easy to act on
Strongly Preferred
- Experience with ecommerce businesses, including refunds, chargebacks/disputes, and payment processors
- Experience with multi-currency accounts and FX conversions
- Experience calculating commissions, bonuses, or other incentive payments
- Experience building recurring management reports, dashboards, or financial trackers
- Experience working with Australian businesses
- Formal qualifications in Finance, Accounting, or a related field

- You will be required to sign a confidentiality agreement and follow strict credential-handling procedures
- Access will be limited to the systems and permissions required to perform the role
