Etsy VA – Customer Service, Operations & Design

I'm looking for a reliable, proactive and detail-oriented person to become part of my growing e-commerce business.

This is a varied role. You'll be working with customers, products, social media, design, AI and eventually Shopify and order fulfillment. I don't want someone who simply waits for a list of tasks. I'm looking for someone who enjoys figuring things out, notices when something needs attention, and takes pride in doing things really well.

You don't need to know everything from day one. I'm looking for the right person who is curious, learns quickly and can grow with the business.

Etsy & Customer Care

You'll help make sure our customers have a great experience:

- Respond to Etsy messages professionally, warmly and promptly
- Help customers with products, personalization, orders and shipping
- Handle problems and follow up until they are actually resolved
- Monitor orders and proactively follow up when something looks delayed or unusual
- Communicate with customers with empathy, good judgment and positive written energy

Social Media & Community

Help us become more visible where our customers already spend time:

- Search and monitor relevant Facebook groups?
- Participate in appropriate conversations and communities?
- Engage with relevant accounts on Instagram through thoughtful likes, comments and interaction?
- Help identify interesting trends, conversations and potential customers?
- Create Pinterest pins using
- Canva and existing product assets?
- Write appropriate Pinterest titles/descriptions using AI where useful?
- Pin products/content consistently and keep boards organized?
- Research Pinterest trends and relevant keywords?
- Help maintain a consistent visual presence?
- Engage naturally with relevant Instagram accounts and potential customers?
- Look for content ideas, trends and opportunities that fit the brand

This isn't about spamming people. I want genuine, thoughtful engagement that feels natural.

AI & Smart Ways of Working

AI is an important part of how I work, so you should be comfortable using it.

- Use AI tools for research, writing, ideas and everyday problem-solving
- Find ways to make repetitive tasks faster and more efficient
- Be curious about new AI tools and technologies
- Think: "Is there a smarter way to do this?"

POD & Orders - as you grow into the role

Once you're comfortable with the business, you'll gradually take on more responsibility:

- Communicate with our printing / POD partners
- Follow up on production and shipping issues
- Monitor orders and help resolve problems
- Eventually assist with day-to-day order fulfillment
- Prepare personalized customer files accurately using Photoshop and Canva

Etsy Listings & Design

You don't need to be a professional graphic designer, but you must have a good eye for aesthetics and detail.

- Create and update Etsy listing images in Canva
- Work with existing mockups to create attractive, cohesive listing presentations
- Make personalization and product adjustments in Photoshop
- Maintain a consistent visual style across the shop

Shopify - future opportunity

I'm also building a Shopify store, so Shopify experience is a big plus, although it isn't required to start.

As the business grows, there may be opportunities to help with:

- Product uploads and updates
- Product images and content
- Collections and basic store organization
- Day-to-day Shopify tasks
- Learning new tools and systems as we expand

The person I'm looking for

E-commerce / POD experience is a strong advantage. Shopify experience is a plus.

How we'll work

We'll primarily communicate through WhatsApp.

At the beginning, you'll work directly with me and I'll show you how the business works and how I like things done.

As you become comfortable with the systems, I want you to take more ownership rather than needing me to explain every little task.

Working hours will be tracked using a time-tracking app, and you'll be expected to accurately record your time and provide a brief summary of completed work when requested.

Pay

$5/hour

The first 30 days are a trial period so we can see whether we're a good fit.

After that, we'll review your performance, reliability, accuracy, efficiency and overall fit.

This is intended to be a long-term position. As the business grows and the role takes on more responsibility, there may be opportunities for increased hours and compensation.
