Role Summary:
The Maintenance Coordinator is the central point of contact for all maintenance work orders across ABPM's managed portfolio. You'll triage and dispatch tenant-reported issues, receive owner approval, coordinate scheduling between tenants and vendors, track jobs through completion in Buildium, and make sure vendor compliance documentation (W-9s, certificates of insurance) stays current. You'll work closely with the Director of Finance & Operations and Broker to keep owners informed and repairs moving without unnecessary delay or cost.
Key Responsibilities:
Field and triage incoming maintenance requests from tenants; determine urgency and appropriate vendor assignment.
Create, assign, and track work orders in Buildium from intake through completion.
Verify completed work through photos, tenant confirmation, or field inspections prior to closing work orders.
Manage emergency maintenance requests (e.g., no heat/AC, water leaks, lockouts) and ensure timely after-hours response.
Coordinate scheduling between tenants, vendors, and (when needed) ABPM field staff for access and walkthroughs.
Coordinate utility access, water turn-ons, lockbox access, key distribution, and contractor entry as needed.
Coordinate all maintenance activities during tenant turnovers, including inspections, painting, cleaning, carpet replacement, lawn service, repairs, lock changes, smoke detector compliance, and make-ready scheduling to meet leasing deadlines.
Review move-out inspections and maintenance reports to determine repair scope and coordinate corrective work.
Schedule and coordinate preventative maintenance programs, including HVAC servicing, gutter cleaning, chimney inspections, pest control, and other recurring maintenance as needed.
Maintain the approved vendor list; collect and track W-9s and proof of insurance before work is authorized.
Evaluate vendor quality, pricing, response times, and workmanship; build and maintain relationships with preferred contractors, source new vendors as needed, and flag underperforming vendors to leadership.
Support owner-coordinated maintenance requests, ensuring owner-preferred contractors meet license/insurance requirements before liability shifts to the owner.
Apply ABPM's maintenance coordination markup consistently and accurately across vendor invoices.
Review vendor invoices for accuracy against work orders before submission for payment, and maintain monthly invoice tracking.
Communicate repair status and cost estimates to owners and tenants; escalate owner-approval-required items promptly.
Assist with insurance-related repairs by coordinating vendors and obtaining the documentation, photos, and estimates required by owners or insurance carriers.
Ensure managed properties remain compliant with applicable Texas Property Code, local housing requirements, smoke detector and carbon monoxide detector regulations, GFCI requirements, and other applicable safety standards.
Maintain detailed documentation of all communications, estimates, approvals, invoices, photos, and repair records within Buildium.
Provide weekly reports of ongoing work.
Qualifications:
Strong English Proficiency
Strong organizational skills
1+ years of experience in maintenance coordination, property management, dispatch, or a related field.
Familiarity with Buildium or comparable property management software strongly preferred.
Strong organizational skills and comfort managing a high volume of concurrent, timesensitive requests.
Clear, professional written and verbal communication with tenants, owners, and vendors.
Ability to stay calm and prioritize effectively during emergency/urgent situations.
Self-directed and reliable in a remote work setting.
Strong problem-solving skills, with the ability to identify practical solutions to maintenance issues quickly.
Skilled negotiator, able to secure fair pricing and timely turnaround from vendors.
Skilled at de-escalating and resolving concerns with upset or frustrated tenants/owners.
Ability to read and evaluate contractor estimates and invoices for accuracy and reasonableness.
Working knowledge of residential construction systems, including HVAC, plumbing, electrical, roofing, appliances, and foundations.
General Understanding of home insurance claims process (preferred but not required).
