PRIME RENOVATIONS LLC | NEW YORK, NY
Assistant Project Manager / Project Manager (Procore
Owner)
Full time, remote from the Philippines. Long term role with growth.
About us
Prime Renovations is a boutique luxury general contractor in Manhattan. We do high end gut renovations of
co-op and condo apartments, typically $700,000 to $2,000,000 per project, inside occupied prewar and modern
buildings with strict building rules, alteration agreements and tight schedules. Our clients are homeowners,
architects and interior designers who expect the work to be organized and predictable.
The role in one sentence
You own Procore. Every job, every day. If it is not current in Procore, that is on you.
We run our projects in Procore as the single system of record. Right now that system is not being kept current,
and it costs us money and credibility. We are hiring someone who has actually run projects and who takes
personal ownership of the project controls, not someone waiting to be assigned tasks.
What you will do
• Schedules. Build and maintain a published schedule for every active job. Update it weekly at minimum, flag
slippage early, and keep look ahead schedules in front of the field team.
• RFIs. Draft, log, issue and chase every RFI. Nothing sits open without a follow up and a due date.
• Submittals. Build the submittal log from the specs and drawings, route to the architect and designer, track
approvals, and make sure approvals land well before the material is needed on site.
• Commitments and change orders. Every subcontractor and vendor gets an executed commitment in
Procore before work starts or a deposit goes out. Track change events, change orders and invoices against
the budget.
• Budgets and cost tracking. Keep the budget current so we always know where each job stands.
• Procurement tracking. Maintain a long lead item log with order dates, lead times and delivery dates.
• Daily field coordination. Review daily logs and photos, prepare meeting agendas and minutes, and follow
up on open items with the Director of Operations and site team.
• Documents. Keep drawings, specs, permits, insurance certificates and closeout documents organized and
current.
How the day runs
This is a structured role, not an open inbox. You will work to a fixed daily routine, for example a Procore review
and update block first thing, then RFI and submittal follow up, then schedule and procurement updates, then an
end of day summary to the team. We will give you the routine and the checklists. You are expected to run them
without being chased and to tell us when something in the system does not match reality on site.
On hours: we care more about the routine being run than about you sitting at a desk from 9 to 5 Eastern. Most
of our team already works New York hours by choice and we are flexible for the right person. The one part of
this job that cannot run on a delay is RFI and submittal follow up, because architects, designers and suppliers in
New York have to be reachable while you are working. Plan on real overlap with the New York day for that
piece.
What we require
• Three or more years as a project manager, assistant project manager or project coordinator in construction.
Residential renovation or interiors experience preferred.
• Hands on Procore experience. You must be able to set up a project, build a budget, issue commitments, and
run the RFI and submittal workflows without hand holding.
• Ability to read and understand architectural drawings and specifications well enough to build a submittal log
and spot gaps.
• Strong written English. You will be writing to architects, designers and subcontractors in New York.
• Significant daily overlap with New York business hours. Most of our team already works US Eastern hours
by choice, and we are flexible on the exact window for the right person.
• Reliable computer, stable internet and a backup connection.
Nice to have
• Experience with New York City co-op and condo work, alteration agreements or building rules.
• Bluebeam, MS Project, ClickUp, Google Workspace, QuickBooks.
• Estimating or takeoff experience.
Compensation and terms
• Full time, 40 hours per week, aligned to New York business hours.
• Monthly salary depending on experience and Procore depth, paid weekly by Wise.
• 30 day trial period, then a long term engagement.
• Paid Philippine holidays and paid time off after the trial period.
• Real growth path. This role can become the project management lead as we scale.
How to apply
Applications that do not follow these instructions will not be read. This is the first test.
• Put SUBMITTAL LOG as the first two words of your subject line.
• Tell us the largest project you have run or supported, the dollar value, and what your specific responsibility
was.
• Tell us how many months or years you have worked inside Procore and which Procore tools you have
personally used.
• Answer this in three or four sentences: a $45,000 painting subcontractor started work on a job and there is
no commitment, no budget line and no invoice in Procore. Walk us through exactly what you do first, second
and third.
• Optional but it helps: a two to three minute video of you sharing your screen inside Procore, or describing
your Procore workflow if you no longer have access.
Shortlisted candidates will be given a short paid test using a real Prime Renovations plan set. You will build a
submittal log and a basic schedule so we can see how you actually work.
