ASSISTANT COMMUNITY MANAGER
This position will support the Community Managers in all aspects of the daily operations of the Associations. The Assistant Community Manager is the liaison between the Community Managers, associations, vendors, and owners, providing professional customer service while ensuring timely and efficient administrative and operational support. Hours are 9:00am - 5:00pm Pacific Standard Time (USA). Please read the entire description of this position:
Duties and responsibilities include, but are not limited to:
Administrative
-Perform administrative tasks such as handling
-Assist in the distribution of agendas, notices, reports, and other documents.
-Maintain and update management company software (Vantaca) documents to ensure available online.
- Assist Managers with action items, updates, tracking of open items.
- Monitor and follow up on pending action items, requests, tasks, ensuring timely resolution.
- Ensure all action items, communications and updates are recorded in management software (Vantaca)
- Assist with document retention and files are properly organized and labeled for future reference and review.
- Other duties as requested by Community Managers
Association Services
- Respond promptly and professionally to owner inquires, concerns and complaints, and escalating as appropriate.
- Create work orders, follow up with vendors, coordinate and schedule maintenance, and notify members of service when -nd as required.
- Assist owners with registration forms, documents, and general information requests.
- Keep owners and Board members informed of work progress, timetables, and potential issues that may impact service.
- Assist Managers to constructively address problems and issues
- Prepare vendor requests for proposals, gather proposals, and schedule site inspections by vendors utilizing US tea
- Prepare and monitor non-compliance letters, hearings, and decision notices
- Facilitate owner requests, such as move in/outs, entry systems, and reservations.
Development
- Participate in training sessions, tea
- Demonstrate professional, ethical, and courteous behavior in all communications with Boards, owners, vendors, and tea
Qualifications
- High School Graduate
- Two years recent office experience or one year property/HOA management experience
- You will experience a high-level of interaction with customers; strong English skills are required (both written and verbal communication skills)
- Strong customer service background
- Professional disposition
- Organizational, time management, and prioritization skills
- Proficient in Microsoft Teams/Microsoft 365, MS Word, Excel
