Job Overview
We're looking for a Project Systems Manager to take over day-to-day management of ----------
from our current operations lead. This isn't a role where you'll be learning ---------- on the job —
we need someone who already knows the platform inside and out, can step in and run it well from day
one, and can look at how we're currently using it and tell us what we're missing. You'll own project setup,
time tracking accuracy, and retainer/budget reporting across our client roster, and you'll be the person
who proactively suggests workflow changes to help us get more out of the platform, not just someone
executing tasks as assigned.
Responsibilities
---------- Ownership
• Own day-to-day management of ---------- across all retainer client projects.
• Set up and maintain project structures, task lists, and workflows for each client.
• Monitor time tracking to ensure accurate logging against each client's retainer hour threshold.
• Own the Beyond Scope tracking process — separating in-scope hours from hours beyond a client's
monthly threshold.
• Maintain reporting/dashboards for retainer usage and Beyond Scope hours by client and project.
Workflow Optimization
• Audit our current use of ---------- and identify underused features, redundant steps, or
inefficiencies.
• Propose and implement improvements — automations, templates, custom fields, tagging structure —
to get more value from the platform.
• Document new processes and train the team on any changes you roll out.
Project Coordination
• Ensure tasks, deadlines, and deliverables across client projects are tracked and current.
• Coordinate with tea ---------- mbers to ensure task completion, and flag anything falling behind schedule
or budget.
• Serve as the team's point person for ---------- questions and troubleshooting.
Transition & Handoff
• Work directly with our current operations lead during a transition period to take over existing
---------- responsibilities.
• Document the current setup and processes as part of the handoff.
Qualifications
Experience
• Required: hands-on, fluent experience managing real client or team projects inside ----------
— not general project management experience, specifically ---------- . Please include 2-3

• Experience managing retainer-based or agency client work is a plus.
• Experience with time tracking and budget/hour-threshold management for client billing is a plus.
Skills

• Strong organizational skills and comfort documenting processes clearly.
• Able to audit an existing system and proactively propose improvements, rather than waiting to be told
what's broken.

• Proficient in Slack and Google Workspace.
