Assistant Property Manager
Job Type: Full-Time
Work Hours: Monday to Friday, 9:00 AM to 5:30 PM Pacific Time, with a 30-minute break

Job Overview:
We are seeking a proactive and detail-oriented Assistant Property Manager to support the day-to-day operations of a residential property management portfolio. In this role, you will assist with leasing, maintenance coordination, tenant communications, rent collection, and administrative tasks while ensuring exceptional service for property owners and residents. The ideal candidate has strong experience with AppFolio and LeadSimple, thrives in a fast-paced environment, and can quickly integrate into a collaborative team. The role will support the management of residential rental properties and help maintain efficient property operations.
Key Responsibilities:
Manage day-to-day property management activities for a portfolio of residential properties.
Utilize AppFolio to maintain accurate property, tenant, lease, and maintenance records.
Use LeadSimple to manage workflows, tasks, follow-ups, and team communications.
Coordinate maintenance requests by communicating with tenants, vendors, and contractors to ensure timely resolution.
Assist with leasing activities, including responding to inquiries, processing applications, preparing lease documents, coordinating move-ins and move-outs, and lease renewals.
Prepare, review, and manage lease documents using DocuSign and other electronic document management tools.
Draft and edit Property Management Agreements (PMAs) and lease documents as needed.
Monitor rent payments, assist with rent collection, and follow up on outstanding balances when needed.
Issue insurance certificates and monitor insurance compliance requirements.
Respond promptly and professionally to tenant and owner inquiries via phone,
Coordinate property inspections and ensure all required documentation is accurately maintained.
Maintain organized records and update property management systems with accurate information.
Support the property management team with administrative tasks and process improvements as needed.
Deliver excellent customer service while maintaining positive relationships with tenants, owners, and vendors.
Required Skills & Qualifications:
Minimum of 3 years of hands-on experience using AppFolio.
Experience with LeadSimple is preferred.
Experience with DocuSign and electronic lease execution is required.
Minimum of 4 years of residential property management experience, including leasing and maintenance coordination.

- Leasing and lease administration

- Insurance compliance and certificate tracking
- Electronic document management (e.g., DocuSign)
Excellent written and verbal English communication skills with a professional phone presence.
Strong organizational and time management skills with the ability to manage multiple priorities and consistently meet deadlines.
Highly detail-oriented with excellent follow-through and accuracy.
Strong problem-solving and critical-thinking skills with the ability to make sound decisions and escalate issues appropriately.
Ability to maintain confidentiality while handling sensitive owner, tenant, and company information.
Proactive, resourceful, and able to work independently with minimal supervision.
Proficient in Microsoft Office 365 and Google Workspace.
Comfortable learning and adapting to new software platforms and technology.
Ability to work effectively in a fast-paced, team-oriented environment while providing outstanding customer service.
