Schedule: Full-time, 9:30 AM-6:30 PM ET (includes a 1-hour lunch break), Monday-Friday, to align with our Florida-based team. This role includes rotating weekend shifts (occasional Saturday/Sunday coverage on a rotating basis) to support time-sensitive transactions.

Role Summary
The Transaction Coordinator manages every file from executed contract through closing, keeping paperwork, deadlines, and communication on track for our agents, clients, and cooperating parties. This role is the central point of contact that keeps each transaction moving smoothly and compliantly to the closing table.
Key Responsibilities
• Manage each transaction file from contract to close, ensuring all paperwork, disclosures, and addenda are complete and compliant
• Track and communicate all critical dates and deadlines (inspection, appraisal, financing, closing) to agents, clients, title, and lenders
• Serve as the primary point of contact between buyers, sellers, agents, title/escrow, and lenders to keep all parties aligned and informed
• Maintain and update files in our transaction management system, ensuring accurate status tracking at every stage
• Schedule and confirm inspections, appraisals, walkthroughs, and closing appointments
• Review contracts and documents for completeness and flag missing or incorrect information before submission
• Send regular status updates to agents and clients throughout the transaction
Requirements & Qualifications
• Strong critical-thinking and problem-solving skills; comfortable making sound decisions and completing tasks with limited day-to-day direction
• Fluent in written and spoken English, with excellent grammar, spelling, and professional communication skills
• Highly organized, detail-oriented, and able to manage multiple priorities and deadlines simultaneously
• Proficient with Google Workspace (Gmail, Drive, Docs, Sheets, Calendar)
• Experience with Follow Up Boss (FUB) or a comparable real estate CRM strongly preferred
• Dotloop experience required
• Experience with a transaction management system similar to Sisu (e.g., SkySlope, TransactionDesk, or Paperless Pipeline) preferred
• Comfortable learning new software and adapting quickly to process changes
• Reliable high-speed internet connection, a quiet home work environment, and a dependable computer
• Prior experience supporting a U.S. real estate team as a virtual assistant is a strong plus
• Working knowledge of residential real estate contracts, disclosures, and the closing process
• Experience with e-signature tools (e.g., Dotloop, DocuSign) and comfort reviewing legal/contract documents for accuracy
