Schedule: Full-time, 9:30 AM-6:30 PM ET (includes a 1-hour lunch break), Monday-Friday, to align with our Florida-based team. This role includes rotating weekend shifts (occasional Saturday/Sunday coverage on a rotating basis) to support active listings.

Role Summary
The Listing Coordinator manages the administrative and marketing workflow for every property we bring to market - from pre-listing preparation through active marketing until the listing goes under contract. This role keeps our listings accurate, compliant, and consistently presented across the MLS and marketing channels.
Key Responsibilities
• Prepare and organize pre-listing paperwork, including listing agreements, seller disclosures, and HOA documentation, and verify property details (APN, square footage, etc.) before launch
• Enter and manage listings in the local MLS with accuracy - writing/formatting property descriptions, uploading and ordering photos, setting showing instructions, and resolving compliance flags
• Coordinate listing launch logistics: scheduling photography/videography, ordering signage and lockboxes, and preparing marketing materials and social content
• Monitor and update active listings, including status changes, price adjustments, and open house information
• Collect and relay showing feedback and send regular listing updates to sellers and agents
• Coordinate with vendors, photographers, and stagers to keep listing timelines on track
• Maintain organized, up-to-date records for every listing file in our systems
Requirements & Qualifications
• Strong critical-thinking and problem-solving skills; comfortable making sound decisions and completing tasks with limited day-to-day direction
• Fluent in written and spoken English, with excellent grammar, spelling, and professional communication skills
• Highly organized, detail-oriented, and able to manage multiple priorities and deadlines simultaneously
• Proficient with Google Workspace (Gmail, Drive, Docs, Sheets, Calendar)
• Experience with Follow Up Boss (FUB) or a comparable real estate CRM strongly preferred
• Dotloop experience required
• Experience with a transaction management system similar to Sisu (e.g., SkySlope, TransactionDesk, or Paperless Pipeline) preferred
• Comfortable learning new software and adapting quickly to process changes
• Reliable high-speed internet connection, a quiet home work environment, and a dependable computer
• Prior experience supporting a U.S. real estate team as a virtual assistant is a strong plus
• Familiarity with MLS platforms, e-signature tools (e.g., Dotloop, DocuSign), and basic design tools (e.g., Canva) preferred
• Working knowledge of standard real estate disclosures, listing agreements, and compliance requirements is a plus
