About Us
We're a growing non-medical home care agency (Right at Home Henrico) serving families in Henrico County, Virginia. We help seniors and adults with disabilities stay safely and comfortably in their own homes. We're early-stage and moving fast — this is a chance to build a role, not just fill one.
The Role
We need a sharp, detail-obsessed Executive Assistant who is also a strong recruiter at heart. Caregiver hiring is the lifeblood of a home care agency — we need someone who can run a full-cycle recruiting pipeline independently while also handling broader EA responsibilities. This is not a "wait for instructions" role — we need someone who spots what needs doing and handles it.
You'll own:
Recruiting:
Job posting management using an ATS (we use Apploi)
Building and maintaining a candidate pipeline/tracker, with proactive follow-up so good candidates don't go cold
Geographic/zip-targeted posting strategy to hit specific service area coverage gaps
Pre-screening calls or message-based screening to filter candidates before they reach the owner or hiring manager
Tracking recruiting metrics — applicants per posting, time-to-fill, source performance — and flagging when a role is underperforming
Executive Assistant support:
Inbox and calendar management (Zoho Mail, Google Calendar) — triage, draft replies, schedule vendor/professional calls
Document prep — meeting briefs, vendor comparisons, first-draft internal comms
Vendor/systems coordination — first point of contact for scheduling software, payroll platform, and phone system support tickets
Light ops tracking — keeping recurring trackers and dashboards updated with current data
General research tasks — comparisons, vendor options, market info, summarized clearly and concisely
You will NOT be doing: direct patient/client care, in-person caregiver supervision, or licensed clinical work. This is 100% remote admin/recruiting support.
Who We're Looking For
Required:
2+ years of hands-on recruiting experience — sourcing, screening, and pipeline management (not just posting jobs and waiting)
1+ years Executive Assistant / admin support experience
Excellent written English — clear, professional, error-free
Strong attention to detail (we test for this — see below)
Strong organizational skills — able to build and maintain trackers/systems, not just follow one
Comfortable managing multiple priorities independently
Reliable internet, backup power/internet plan, quiet home office setup
Available for daily overlap with US Eastern Time business hours
Strongly preferred:
Prior recruiting experience specifically for caregivers, CNAs, home health aides, or similar high-volume hourly healthcare roles — this is a very different pipeline than corporate/office recruiting and we want someone who already understands the candidate pool and churn realities
Prior experience with a US home care, home health, senior care, or healthcare BPO company
Experience with any of: Indeed employer tools/sponsored posting strategy, Apploi or other ATS platforms, WellSky, ADP/payroll platforms, Zoho suite, Google Workspace
A naturally proactive, low-drama working style - steady and precise under repetitive volume, but willing to flag issues and take initiative without being told
