Position Purpose: Perform post-closing mortgage file quality control and prepare funded loan files for Managing Broker compliance review by ensuring required documentation is complete, properly organized, deficiencies are resolved, and each file is audit-ready.

Reports To: Managing Broker / Director of Operations
Position Purpose: Perform post-closing file review and compliance quality control to help ensure funded mortgage files are organized, complete, and audit-ready.
Primary Responsibilities:
Review funded loan files using the company's compliance checklist
Confirm required documents are present in the appropriate compliance folders
Identify missing, incomplete, inconsistent, or incorrectly filed documentation
Maintain organized electronic compliance files
Verify required disclosures and internal documentation are retained
Review files for adherence to company documentation standards
Maintain funded-loan audit tracking
Document compliance deficiencies and outstanding items
Follow up internally for missing documentation
Track remediation through completion
Prepare files for internal/external audits and regulatory examinations
Maintain compliance logs and supporting documentation
Assist with MCR-related document gathering and record organization
Escalate potential compliance concerns to the Managing Broker rather than making independent compliance determinations
Track compliance tasks and deadlines through Jira
Provide reporting on audit readiness, outstanding deficiencies, and recurring documentation issues
Success looks like: When Broker select a funded file for review, it is organized, documented, and audit-ready, with deficiencies identified and corrected promptly.
Mortgage Compliance Coordinator = VERIFY & CONTROL
This position does NOT:
Make final compliance determinations on behalf of the Managing Broker.
Provide legal advice or interpret laws or regulations as legal counsel.
Approve or deny mortgage loans.
Make underwriting or credit decisions.
Override lender, investor, agency, or underwriting requirements.
Change loan terms, pricing, interest rates, fees, or borrower qualifications.
Originate loans or perform licensed MLO activities unless separately licensed and specifically authorized.
Sign documents or certifications on behalf of the Managing Broker unless expressly authorized.
Alter, backdate, fabricate, or recreate documents to resolve a file deficiency.
Remove or conceal documentation because it creates a compliance concern.
Independently respond to regulators, auditors, state agencies, or examination requests unless specifically authorized.
Submit regulatory reports such as the MCR independently unless specifically assigned and reviewed/approved by the Managing Broker.
Mark a file as Final Compliance Approved if final approval is reserved for the Managing Broker.
Ignore or independently resolve material compliance exceptions that require escalation.
Perform the Loan Processor's day-to-day processing responsibilities unless specifically assigned.
Manage Loan Officers or make disciplinary decisions.
