Thanks for your interest in the Account Manager Assistant for Marketing Agency role.
This is a remote operations role supporting a US-based digital marketing agency’s client account management team. We need someone who has previously worked inside a marketing agency or directly supported multiple clients. Your job is to make sure nothing falls through the cracks before, during, or after client meetings. AI use is encuraged to be used but you need to be the human in the loop. ai is constantly making mistakes and I need you to catch them not just blindly following what it says
You will process call notes and transcripts, create and maintain tasks, draft client recap and response
We have frequent internal meetings, so you must be comfortable joining video calls, communicating clearly, and following through afterward.
this is not a generic virtual assistant role. You must have real experience in a marketing agency or similar using a project-management tool and a CRM, deadlines, follow-up, and communication. ClickUp, Google Workspace, and GoHighLevel experience are strong advantages.
We use Hubstaff for clocking in and out, it does take activity screenshots. You must be comfortable working transparently within that system. No one likes, I dont like this, but ive caught too many with 2 jobs not getting work done.
We need consistent overlap with US Eastern or Mountain Time business hours.
To be direct, please do not waste your time or mine by applying if you do not have relevant marketing-agency experience, project-management-tool experience, CRM experience, comfort joining video meetings, and reliable availability during US business hours.
If you meet those requirements, please send a 3 to 5 minute video through Upwork answering these questions: I know big ask for first round.
1. What marketing agency experience do you have? What services, clients, or account-management work did you support?
2. What tools have use used and how have the affected the outcomes for the clients.
3. How comfortable are you joining video meetings, taking notes, and managing the follow-up work afterward?
4. Tell me about a time you caught a missed detail, overdue task, or client risk before it became a larger problem.
5. What hours can you consistently work in US Eastern or Mountain Time, and how many hours per week are you available?
Please keep your video direct and specific. We are looking for a proactive, detail-oriented operator who can protect the client experience and keep work moving without constant reminders.
