Overview
Seeking an experienced bookkeeper to manage day?to?day financial operations and provide administrative support for a busy building company. The role covers accounts reconciliation, invoicing, payments, financial reporting and procurement administration (POs, quotes). Ideal candidate has construction or trade sector experience, strong attention to detail, and the ability to manage deadlines and compliance.
Key responsibilities
Accounts receivable: prepare and issue client invoices, track receivables, follow up on overdue accounts.
Accounts payable: process supplier invoices, verify tax invoices, code expenses, obtain approvals and schedule payments.
Bank and ledger reconciliations: perform weekly/monthly reconciliations (bank, credit cards, ) and resolve discrepancies.
Cashflow & payments: manage weekly cashflow forecasts, prepare payment runs.
Financial reporting: produce accurate monthly management reports (P&L, balance sheet, cashflow summary), variance analysis and support month?end and year?end processes.
Job costing & project reporting: allocate costs to projects/jobs, maintain up?to?date job cost reports and highlight budget variances to project managers.
GST & BAS support: prepare GST records, assist with BAS lodgement and maintain tax invoice records.
Procurement & admin: raise purchase orders, obtain and compare quotes, maintain supplier lists and contracts, and manage purchase order approvals.
Record keeping & compliance: maintain orderly financial records, file supporting documents, and support external auditors and accountants.
Office support: general administration including supplier/customer communications, system data entry, and ad?hoc tasks to support operations.
Required skills & experience
Minimum 3–5 years bookkeeping experience; construction industry experience strongly preferred.
Proficient with accounting software (Xero, MYOB or QuickBooks) and MS Excel. Experience with job?costing modules or construction ERPs a plus. ( We use a software called Buildxact)
Strong numeric accuracy, attention to detail and organisational skills.
Knowledge of GST, BAS and payroll processing (desirable).
Excellent communication and stakeholder management (suppliers, subcontractors, project managers).
Ability to prioritise workloads, meet deadlines and work independently.
Qualifications
Cert IV in Accounting & Bookkeeping or equivalent preferred.
Relevant bookkeeping certification (e.g., BAS agent registration) is an advantage.
Key performance indicators (KPIs)
Timely weekly payment runs and zero missed supplier payments.
Monthly reconciliations completed within 5 business days of month end.
Accurate monthly management reports delivered on schedule.
Aged receivables maintained
Job cost variance reporting produced weekly/biweekly with clear exception reporting.
