JOB OVERVIEW

Exploring Scholar is an education company running one-on-one and small group tutoring for students across North America. We're hiring a Teacher Success & Quality Assurance Coordinator to be the day-to-day point of contact for our growing teacher team.

This is not a generic admin or data entry VA role. You'll be trusted with real judgment calls on coverage, teacher performance, and communications. If you've coordinated a team of 20 or more people before, in education, tutoring, or a similar service business, this is built for you.

Schedule

Part-time, 20 hours per week to start, with strong potential to grow into full-time. Live/sync hours are needed during your early morning (roughly 5am to 9am Philippine time) to overlap with our team's evening hours in Toronto. Remaining hours are flexible and async during your day. We are specifically looking for an early riser who is comfortable and reliable on this schedule.

What you'll own
Quality assurance: Review lesson plans and lesson recordings against our policies. Catch issues before they become patterns.
Coverage arrangements: Arrange substitute tutors for sick days, vacations, or urgent last-minute swaps.
Communications: Send regular updates to teachers and handle one-off announcements. Keep messaging clear and consistent, including proactive phone check-ins with new hires and with teachers taking on new students.
Performance tracking: Monitor ongoing performance, run periodic reviews, gather and give regular feedback to teachers, and flag anything that needs manager attention.
Onboarding: Guide new teachers through our systems and policies, and be their first point of contact in their early weeks.
Proactive problem solving: Spot issues early, whether it's a scheduling conflict, a teacher drifting from policy, or a burnout risk.
Community building: Help our distributed teacher team feel connected and supported, not isolated.
A typical week looks like

Daily morning check-ins on any overnight teacher messages, review of several lesson plans against policy, one or two coverage arrangements handled independently, and a weekly summary sent to the manager, along with meetings with the manager as needed for key updates. You'll make quick phone call check-ins with new hires and with existing teachers when they're assigned a new student, review lesson recordings to monitor teaching quality, and regularly gather and give feedback to teachers.

This is a person-centered, communicative role. You should be comfortable and confident reaching out proactively, by phone as well as by message, rather than waiting for teachers to come to you. Quick phone calls during your shift are a normal, regular part of the job, not an exception.

Long-term opportunity

This is a long-term role with a growing company, not a short-term or trial-only contract. We're looking for someone who wants to build with us as the teacher team and your responsibilities both grow.

What you'll have authority over

You'll be able to make routine calls independently, such as approving standard coverage swaps and handling first-line policy reminders. Anything involving a formal warning, repeated policy violations, teacher conflict, or a parent complaint gets escalated to the manager. Clear guidelines on this will be provided from day one.

Equipment and connectivity

You'll need a reliable laptop or desktop, stable primary internet connection, and a backup plan for outages (a backup internet source or mobile hotspot, and ideally a power backup given occasional brownouts). This role requires dependable daily availability, so please only apply if your setup can support that consistently.

What we're looking for
Excellent written and spoken English
Prior coordination, quality assurance, or team lead experience managing 20+ people (any industry is fine, but education or tutoring is a strong plus)
Comfortable with Zoom and Google Workspace, and quick to learn new systems (we're launching a custom teacher management tool)
Genuinely detail-oriented. This role depends on catching small things before they grow.
Confirmed, reliable availability for the AM shift described above
Warm, relationship-driven communication style
Comfortable initiating phone calls, not just messaging, and proactive about reaching out rather than waiting to be asked
Compensation

$11 to $14 CAD/hour (approximately $8 to $10 USD, exchange rates fluctuate) based on experience, part-time to start (20 hrs/week), with room to grow into a full-time role at a higher monthly rate as responsibilities expand.

Payment: Paid monthly via Wise.

Benefits: As an independent contractor role, this position does not include SSS, PhilHealth, Pag-IBIG. 13th month pay available after a full year with the company.
