Who We Are
Rareform Audio and Black Sheep Music are a music and sound company specializing in music for movie trailers, advertising, film, TV, and media. We create and license music for major campaigns around the world, and we work with clients who often need things quickly, clearly, and professionally.
We are a small company, so people on our team often wear multiple hats depending on their strengths. We like growing with the people we invest in. More than anything, we are looking for someone sharp, reliable, accountable, detail-oriented, and eager to learn.
The Role
We are looking for a Music Coordinator / Admin Assistant to help coordinate projects between our clients and our internal team.
This is not a high-level music supervisor role. You do not need to be an expert in trailer music, playlisting, or music licensing. Music production skills are a huge plus, but they are not required.
The most important thing is that you are organized, trustworthy, responsive, and able to help keep things moving.
You will help with client requests, stem deliveries, project notes, team follow-ups, file organization, and general coordination. Over time, the role may grow based on your strengths.
Hours
The required schedule is Monday-Friday, 5am-12pm Philippines time, which is 2pm-9pm Los Angeles time during daylight savings.
This gives us overlap with Los Angeles clients and allows us to handle time-sensitive requests while the U.S. workday is still active.
What You’ll Help With
- Coordinating client requests between our clients and team
- Helping with stem requests, instrumentals, alternate mixes, and file deliveries
- Organizing project details, notes, links, files, and follow-ups
- Communicating clearly with our internal team of composers and roster of talent
- Making sure requests do not fall through the cracks
- Helping with basic admin, research, and outreach tasks when needed
- Supporting Rareform Audio and Black Sheep Music across different projects
What We’re Looking For
- An infinite learner
- Excellent written English
- Strong attention to detail
- Reliable and accountable
- Organized and able to track multiple moving pieces
- Comfortable with Gmail, Notion, Dropbox and online tools
- Able to follow instructions carefully
- Able to work independently once trained
- Interested in music, media, trailers, film, TV, advertising, or creative work
- Willing to learn new systems and improve over time
Musical experience is a plus, especially if you produce music, sing, play an instrument, edit videos, create content, or have worked around artists, labels, studios, playlists, or music promotion. But the main thing we need is someone sharp who can help us coordinate and stay organized.
This Role Is a Good Fit If
- You enjoy helping things stay organized
- You are careful with details
- You communicate clearly
- You take ownership of your work
- You like learning new things
- You are calm and professional
- You want to grow with a small creative company
This Role Is NOT a Good Fit If
- You do not follow instructions carefully
- You need constant supervision for every small step
- You are careless with spelling, communication, or details
- You are not available from 5am-12pm Philippines time
- You are looking for a role with no responsibility
- You are not interested in music or creative work
How to Apply
Please apply through this form, not through messages on this website:
In your Loom video, please answer these 3 questions:
1. Tell us a little about yourself, your background, and why this role interests you.
2. Show us one project or piece of work you are proud of. Impress us.. What's something interesting you have created, This could be a spreadsheet, Canva design, music project, YouTube upload, research list, admin system, social media work, video, outreach campaign, or anything else you personally worked on. Tell us what the goal was, what you did, and what the result was.
3. Why do you think you would be a strong fit for a music coordination / admin assistant role?
The Loom video does not need to be fancy. We just want to hear you communicate clearly, follow instructions, and show us something real that you have done.
Again, applications without a Loom video link will not be considered.
We are not looking for a perfect resume. We are looking for someone sharp, reliable, honest, detail-oriented, and excited to grow.
