JOB OVERVIEW

We are looking for a full-time E-commerce Operations Specialist to take responsibility for a broad set of recurring and occasional operational processes.

Working arrangement
• Full-time, long-term remote role
• 40 working hours per week
• At least 5 regular working hours overlapping with 10:00–18:00 Sofia (Bulgaria) time
• The work cannot be performed at the same time as another job or client engagement
• You need a reliable, quiet and sufficiently private workspace suitable for occasional calls
• Clear written English is required; perfect English is not

You may be a strong fit for this role if you are the kind of person who wants to understand how a process works – not only complete its steps. You notice when information is missing, question results that do not make sense, follow up without repeated reminders, and look for practical ways to make recurring work more reliable.

Direct experience with every platform or responsibility listed below is not required. We care more about reliability, attention to detail, sound judgment, clear communication and the ability to learn. Relevant e-commerce or operations experience is useful, but it is not a substitute for these qualities.

We are a small but growing e-commerce team operating several brands and selling across multiple international markets. Because the team is small, good work is visible and the right person can gradually take on more ownership, improve how the company operates and grow their compensation as their responsibilities expand.

Several members of our team are based in the Philippines and have worked with us full-time for an extended period. They have told us that this is the best company they have worked for, which we believe reflects the respectful, supportive and stable working environment we try to create.

Your work will include a mix of recurring process-based tasks and occasional situations that require investigation and judgment. You will receive training and access to detailed operating procedures. We do not expect you to know all our systems immediately, but we do expect you to understand the processes as you learn them, ask focused questions and gradually require less supervision.

When useful for the role, we are open to providing relevant training and educational resources.

The work will include several main areas:

Orders, suppliers and shipments
• Keep order and shipment tracking spreadsheets updated
• Follow production, inspection, dispatch, transit and delivery status
• Follow up with suppliers, inspectors, forwarders and warehouses
• Identify delays, missing information and discrepancies

Inventory and operational monitoring
• Update inventory and forecast spreadsheets
• Track stock across warehouse platforms, manufacturing and transit
• Monitor stock coverage and notice potential replenishment risks

Quality control and detailed checking
• Organize product inspections
• Review inspection photos, videos and reports

E-commerce operations and administration
• Handle recurring operational tasks
• Update operational reports and keep records organized

You are likely to succeed here if you:
• Are reliable and consistent without needing repeated reminders
• Pay close attention to details, especially when similar products, quantities, dates and markets are involved
• Want to understand why a process exists
• Notice missing information, contradictions and risks
• Use judgment when instructions do not perfectly fit the situation
• Communicate clearly and raise problems early
• Suggest practical improvements

Previous experience in e-commerce, Amazon, Shopify, spreadsheets, inventory tracking, logistics, supplier coordination, customer operations or automation will be useful.
However, experience in any of these areas is not strictly required. We are primarily selecting for the qualities above and your ability to learn.

Compensation will depend on relevant experience and demonstrated capability. There is room for increases as you become more independent and take ownership of higher-value responsibilities. Candidates with strong, proven inventory management or forecasting experience may be considered for a higher starting salary and broader initial responsibilities.
