JOB OVERVIEW

We are a growing VA operations and project management agency supporting entrepreneurs, founders, coaches, and online businesses in the United States.

Our team helps clients streamline operations, build scalable systems, manage projects, hire top talent, and improve business processes so they can focus on growing their businesses.

We're now looking for our first AI Automation & Systems Specialist to help us build AI-powered workflows and automation solutions across multiple client accounts.

ABOUT THE ROLE:
You'll work directly with our Operations Manager to design, build, and optimize AI-powered workflows for both our internal operations and our clients' businesses.

This is more than simply connecting apps together. We're looking for someone who enjoys understanding how businesses operate, identifying repetitive work, and building practical AI systems that improve efficiency and save hundreds of hours of manual work.

This is a project-based role to start, with the opportunity to become a long-ter ---------- mber of our team as we continue expanding our AI automation services.

We're looking for someone who enjoys solving business problems, not just building automations.

You should be naturally curious and able to look at an existing workflow, identify bottlenecks, recommend improvements, and build practical AI solutions that make businesses more efficient.

We're also looking for someone who enjoys teaching. A big part of this role is documenting your work and helping transfer knowledge to our Operations Manager so we can confidently maintain and expand these automations internally over time.

INITIAL PROJECTS:
You'll initially be supporting AI automation initiatives for multiple client accounts.

Project 1 – Coaching & Consulting Business

Help design and implement AI-powered operational workflows using tools such as:

* Claude AI
* Otter.ai
* Asana
* Ontraport
* Google Calendar
* Slack

The goal is to streamline internal operations, automate repetitive administrative tasks, and improve workflow efficiency while maintaining human oversight for client-facing communications.

Project 2 – eCommerce Business

Help modernize and automate operational workflows for an established eCommerce company using AI and existing business systems.

You'll work with platforms such as:

* Claude AI
* Shopify
* Klaviyo
* ManyChat
* Asana
* GitHub
* Google Workspace

The focus will be reviewing existing processes, identifying automation opportunities, improving operational efficiency, and building scalable AI-assisted workflows.

As our agency grows, you'll also have the opportunity to work on AI automation projects for additional clients across different industries.

RESPONSIBILITIES:
* Design and build AI-powered workflows and automations
* Analyze business processes and identify automation opportunities
* Integrate business systems using APIs and AI tools
* Recommend smarter workflows and operational improvements
* Build scalable AI-assisted systems that reduce manual work
* Test, troubleshoot, and optimize automations
* Document everything clearly
* Record Loom walkthroughs for completed projects
* Create SOPs and technical documentation
* Work closely with our Operations Manager throughout implementation
* Help train our internal team so future automations can be maintained and expanded internally

REQUIRED SKILLS & EXPERIENCE:
* Strong experience working with AI automation tools
* Experience with Claude AI
* Experience with Claude Code and/or Claude Projects
* Experience with MCP (Model Context Protocol)
* Experience integrating APIs
* Strong systems thinking and process improvement mindset
* Experience with Git/GitHub
* Working knowledge of Python and/or JavaScript
* Excellent written and spoken English
* Strong analytical and problem-solving skills
* Ability to explain technical concepts in a simple, easy-to-understand way
