Salon J. Monet and Private Hair Society are seeking a highly organized, exceptionally detail-oriented Operations & Brand Coordinator to support daily business operations, brand development, social media preparation, bookkeeping organization, project coordination, and administrative systems.
This is not a basic task-based virtual assistant role. We are looking for someone who understands that strong brands are built through intentional decisions, consistent execution, and attention to the smallest details.
You will work directly with the founder to help turn ideas into completed projects, keep priorities organized, prepare content for approval, maintain internal systems, and ensure important tasks do not fall through the cracks.
ABOUT THE BRANDS
Salon J. Monet is an appointment-only extension and natural hair salon based in Houston, Texas. Private Hair Society is the product and lifestyle house connected to the salon.
Both brands operate within the same ecosystem and are guided by the same standard of professionalism, organization, intentionality, visual consistency, and thoughtful client experience.
This position supports Salon J. Monet and Private Hair Society as business entities. It does not manage the independent beauty professionals who operate inside Salon J. Monet. Each professional manages their own clientele, pricing, booking platform, schedule, and business independently.
SCHEDULE
• Part-time
• 3–4 working days per week
• Approximately 4–5 hours per working day
• 16–20 hours per week
• Agreed-upon working hours
• One required virtual planning and review meeting each week
• Some overlap with Houston, Texas business hours will be required
KEY RESPONSIBILITIES
BRAND AND SOCIAL MEDIA SUPPORT
• Prepare social media posts for founder approval and publication
• Draft captions, calls to action, hashtags, cover wording, Story text, and supporting copy
• Prepare content for Instagram, Pinterest, TikTok,
• Organize the weekly and monthly content calendar
• Track which content is drafted, awaiting assets, awaiting approval, approved, posted, or delayed
• Organize photos, videos, graphics, templates, and other digital assets
• Assist with content repurposing across platforms
• Review all content for spelling, formatting, links, tags, product details, pricing, and brand consistency
• Research trends, marketing opportunities, competitors, and relevant content ideas
• Collaborate with the founder on campaigns, launches, promotions, and creative concepts
• Track basic content performance and summarize useful insights
• Maintain the established visual direction, tone, language, and House Standard
The founder will retain final approval and personally publish Instagram content.
PRIVATE HAIR SOCIETY SUPPORT
• Assist with product launch preparation
• Update Shopify product information and website content when requested
• Help organize product descriptions, pricing details, policies, images, and inventory records
• Assist with customer inquiries and administrative follow-up
• Support
• Research vendors, products, packaging, tools, and business opportunities
• Help coordinate brand projects from idea to completion
• Maintain organized records for active and future initiatives
SALON J. MONET OPERATIONS
• Assist with Salon J. Monet’s internal administrative systems
• Organize booth rental records, agreements, deposits, payment tracking, and onboarding documents
• Maintain records related to station availability and prospective renter inquiries
• Organize receipts, invoices, recurring expenses, and vendor documentation
• Assist with bookkeeping preparation and expense categorization
• Track shared supplies, operational needs, and inventory
• Maintain cleaning, maintenance, and vendor records
• Update internal spreadsheets and operational reports
• Organize House documents, forms, policies, and standard operating procedures
• Assist with salon-level website and directory updates
• Support House-led events and initiatives
This role will not manage independent stylists’ personal bookings, clients, pricing, deposits, cancellations, finances, or social media accounts.
PROJECT AND EXECUTIVE SUPPORT
• Maintain project trackers and task lists
• Help establish timelines, priorities, and deadlines
• Follow up on pending assignments, approvals, vendors, and outstanding items
• Organize
• Prepare meeting notes and action-item summaries
• Conduct research and present findings clearly
• Help coordinate business projects across multiple priorities
• Identify incomplete tasks, conflicting information, missing details, and potential delays
• Ensure approved tasks move from assignment to completion
WEEKLY WORKFLOW
The selected candidate will attend one required weekly virtual meeting with the founder.
During this meeting, we will:
• Review completed and incomplete work
• Establish priorities for the upcoming week
• Discuss deadlines, launches, and ongoing projects
• Review marketing and social media ideas
• Identify missing information, approvals, assets, or decisions
• Discuss errors, inefficiencies, concerns, and recommendations
At the end of each assigned workweek, the coordinator must submit a written report including:
• Tasks completed
• Tasks still in progress
• Tasks not completed
• Reasons for delays or blockers
• Items awaiting founder approval
• Errors, concerns, or inconsistencies identified
• Recommendations or new ideas
• Top priorities for the following week
THE MOST IMPORTANT REQUIREMENT
Exceptional attention to detail is the most important qualification for this position.
The ideal candidate naturally reviews their work before submitting it. They notice spelling errors, formatting inconsistencies, broken links, outdated information, missing details, incorrect dates, conflicting prices, incomplete assignments, and visual misalignment.
We need someone who:

PAID TRIAL PERIOD
This position begins with a two-week paid trial.
During the trial, the candidate will complete real assignments related to content preparation, research, business organization, administrative support, spreadsheets, and project coordination.
