FULL-TIME VIRTUAL OPERATIONS MANAGER
Australian Cleaning Business | Long-Term Role
The Great Cleansed Space (GCS) is looking for a warm, capable and emotionally steady Virtual Operations Manager to take genuine ownership of our daily operations.
This is not a basic task-taking VA position. We need someone who can understand the bigger picture, make sound decisions, confidently communicate with Australian clients and tea
We are not looking for the cheapest applicant or a short-term freelancer. We want to find the right person, train them properly and build a trusted working relationship that lasts for years.
ABOUT GCS
The Great Cleansed Space is a locally owned residential cleaning business based in Rockhampton, Queensland, Australia.
We support more than 100 regular clients through a local team of cleaners. Our work is about more than cleaning—we often enter people’s lives during vulnerable, overwhelming or exhausting seasons. We aim to make clients feel supported rather than judged.
Our team is predominantly made up of women and mothers. We care deeply about treating people with compassion and flexibility, but we also need reliability, accountability and clear boundaries.
THE PURPOSE OF THE ROLE
You will eventually take ownership of almost every area of daily operations other than payroll and financial reconciliation.

KEY RESPONSIBILITIES
Client communication and care:
* Respond to phone calls,
* Follow up estimates and onboard new clients.
* Manage cancellations, rescheduling, complaints and sensitive conversations.
* Investigate concerns fairly and communicate practical solutions.
* Check spam and all communication channels so important messages are not missed.
Scheduling and daily operations:
* Maintain accurate bookings and client records in ZenMaid.
* Manage cleaner sickness, availability changes and cancellations.
* Contact affected clients and coordinate replacements where possible.
* Keep ZenMaid and our Trello availability board aligned.
* Prevent double bookings, unrealistic travel times and scheduling conflicts.
* Identify gaps and risks before they become emergencies.
Team coordination and accountability:
* Act as the primary day-to-day contact for our cleaning team.
* Respond to sickness notifications, questions and availability changes.
* Show genuine empathy while considering the effect on clients, coworkers and the business.
* Communicate clear expectations around reliability, notice and professional conduct.
* Recognise recurring patterns and hold respectful but direct conversations.
* Support recruitment, onboarding and team recognition.
Growth, marketing and client relationships:
* Follow up suitable leads and help convert available hours into sustainable recurring bookings.
* Create and schedule
* Advertise available sessions in relevant local community groups.
* Nurture existing client relationships through thoughtful follow-ups, appreciation and review requests.
* Track which activities lead to suitable enquiries and bookings.
Systems and owner communication:
* Maintain templates, checklists, procedures and organised records.
* Identify recurring problems and develop ways to prevent them.
* Provide concise daily tracking notes covering important actions and unresolved matters.
* Escalate significant issues with the facts, available options and your recommendation.
* Communicate mistakes and bad news honestly and promptly.

You can support a cleaner experiencing a difficult family situation while still recognising the effect repeated cancellations have on clients. You can listen compassionately to a frustrated client while applying policies fairly.
You accept feedback without becoming defensive, disclose mistakes early and help prevent them from happening again.
ESSENTIAL REQUIREMENTS
* Excellent written and spoken English.
* Confidence making and receiving telephone calls with Australians.
* Experience coordinating people, clients, schedules or business operations.
* Strong customer-service experience, including complaints and sensitive conversations.
* Sound judgement, initiative, organisation and attention to detail.
* Ability to learn technology and move between several systems.
* Confidence creating social content and using—or learning—Canva.
* Reliable availability throughout the advertised working hours.
* A dependable computer for recruitment, training and the initial period.
* Fast primary internet, backup connectivity and a reasonable power-outage plan.
* A quiet and professional workspace suitable for confidential calls.
* No overlapping employment, freelance clients or other commitments during GCS working hours.
Experience with ZenMaid, Trello, Gmail, Google Workspace, Canva or Meta Business Suite is helpful but not essential. We care more about how you think, learn and handle responsibility.
WORKING HOURS
Monday to Friday, 6:00am–2:30pm Philippine time
Monday to Friday, 8:00am–4:30pm Queensland time
The schedule includes a 30-minute unpaid meal break and provides 40 paid hours each week.
Queensland does not observe daylight saving time, so the hours remain consistent throughout the year.
This is a live operational role, not a flexible freelance arrangement. You must be online, contactable and ready to begin work at the agreed time. You will not be expected to routinely monitor messages outside your working hours.
SALARY AND BENEFITS
* ?50,000–?80,000 PHP monthly base salary.
* Training and orientation begin at ?50,000 PHP per month.
* Guaranteed capability and salary review after eight weeks. Any increase will reflect demonstrated accuracy, judgement, learning and operational ownership.
* Philippine 13th-month pay in addition to the monthly base salary.
* Paid leave and public-holiday arrangements clearly documented.
* ?1,000 PHP weekly coffee allowance from your first week, with no receipts required.
* Lump-sum performance bonuses for agreed and measurable milestones.
* Dedicated GCS laptop and quality noise-cancelling headset following successful completion of the initial period.
* GCS-controlled phone system, so you will not use your personal number or pay for business calls.
* Structured paid training, professional growth and increasing decision-making authority.
* Predictable weekday hours and respect for your personal time.
Paid training is expected to begin in late September 2026. During your first month, you will receive approximately 40 hours of direct practical training with our current administrator, primarily through live screen sharing.
