Part-Time Property Management VA — Buildium Expert (NY Real Estate Brokerage)

About Us

New York Online Realty is a growing real estate brokerage based in New York, USA. We manage rental properties across the New York area and run our entire property management operation through Buildium. We're looking for an experienced Property Management VA to keep our Buildium system running smoothly and make sure nothing falls through the cracks.

The Role

This is a part-time position, 9:00 AM to 2:00 PM Eastern Time (New York time), Monday to Friday. That's 25 hours per week to start.

Strong performers will have the opportunity to grow into a full-time role. If you're looking for a long-term position with a real career path, this is it.

You will be responsible for the day-to-day operations of our property management workflow inside Buildium. This means owning the details so we don't miss anything.

What You'll Actually Do
Task management — Make sure every task inside Buildium is completed on time. Follow up on anything overdue. Flag anything blocked.
Lease renewals — Track upcoming lease expirations. Notify us in advance so we have time to reach out to tenants and start the renewal process. Prepare renewal paperwork inside Buildium.
Rent collection — Call tenants when rent is late. Log all communication. Follow up until we get resolution.
Keeping Buildium clean and current — Every property, unit, tenant, lease, work order, and payment stays properly updated. If it's in Buildium, it needs to be accurate.
Maintenance coordination — Route tenant maintenance requests to the right vendors. Follow up until work is completed and closed out.
Communication — Handle tenant and vendor communication via calls, email, and text as needed.
What You MUST Have
Real-world Buildium experience. You have actually used Buildium in a previous role. Not "I watched YouTube videos." Not "I studied it." You've used it, and you can prove it. Screenshots, references, past employer confirmation — you'll need to show something.
Real property management experience. You've done this work before — for a US property manager, a brokerage, or a real estate investor. You understand the rhythm of leases, rent cycles, maintenance workflows, and tenant communication.
Ability to work 9:00 AM to 2:00 PM Eastern Time (New York time), Monday through Friday. This is non-negotiable. Do NOT apply if this schedule doesn't work for you.
Fluent English — spoken and written. You will be calling tenants and vendors in New York. They need to understand you clearly, and you need to sound professional on the phone.
Nice to Have (Not Required)
Experience with GoHighLevel CRM
Experience with US real estate more broadly
Bookkeeping / accounting background
Prior work with a US-based real estate brokerage
Alternative Property Management CRMs

If your experience is with AppFolio, Rent Manager, Propertyware, or another property management CRM (not Buildium specifically), you can still apply — but you must prove strong proficiency and demonstrate you can pick up Buildium fast. Include specifics about which CRM you used, how long, and what you did with it.

Compensation

Starting rate: $6.00 to $8.00 USD per hour, depending on experience and demonstrated Buildium proficiency. Rate will be finalized during the interview process.

Weekly pay via PayPal, Wise, or bank transfer.
