Koah Health is a growing physical therapy and wellness clinic located in Huntington Beach, California. We are passionate about providing exceptional patient care and creating an outstanding experience for every patient who walks through our doors. We're looking for a highly organized, dependable Medical Administrative Assistant to become an important part of our team. This is a long-term opportunity for someone who enjoys creating order, solving problems, and taking ownership of their work.
Our goal is to find someone we can truly rely on—someone who helps ensure nothing falls through the cracks and allows our clinic owner to spend more time focusing on patient care, developing our team, and growing the practice.

$6-9 USD/hour depending on experience

We're looking for someone who takes ownership rather than waiting to be told what to do. You enjoy organizing systems, following through on details, solving problems, and making sure everything is completed accurately. You're dependable, proactive, and take pride in doing things the right way. Most importantly, we're looking for someone who wants to build a long-term relationship with our practice and become someone our team can count on.
Responsibilities
Verify patient insurance eligibility and physical therapy benefits
Obtain and track prior authorizations
Prepare and submit insurance claims
Follow up on denied, rejected, or unpaid claims
Schedule, reschedule, and confirm patient appointments
Coordinate new patient scheduling and intake
Respond to patient
Return phone calls requiring follow-up after our AI answering service or in-clinic staff have handled the initial inquiry
Track physician referrals, plans of care, and signature requests
Maintain accurate records within Jane App
Organize reports, spreadsheets, and documentation
Assist with workflow improvements and other administrative projects
Requirements
Experience working in a U.S. healthcare practice (physical therapy, chiropractic, medical, dental, or similar)
Experience with insurance verification, prior authorizations, submitting insurance claims and/or medical billing
Experience with or willingness to learn Jane App EMR software
Excellent written and spoken English
Strong computer skills
Exceptional attention to detail
Excellent organizational and time management skills
Ability to work independently and manage multiple priorities
Strong understanding of HIPAA regulations and patient confidentiality
*Experience with physical therapy, Jane App, or healthcare administration is preferred but not required.
