Part-Time Bookkeeper – Australian Luxury Fashion Brand
Location: Remote – Philippines
Schedule: Three full days per week, aligned with Sydney business hours
Rate: USD $140 per week
Reports to: General Manager
Adminworks is recruiting an experienced part-time Bookkeeper for an established Sydney-based designer luxury fashion brand.
This is a hands-on role for someone who genuinely knows Xero, takes ownership of their work and can keep the financial side of a growing fashion business accurate, organised and under control.
You’ll work directly with the General Manager, managing day-to-day bookkeeping, supplier payments, customer accounts, reconciliations, cash-flow reporting and month-end preparation. Experience in fashion, retail, eCommerce, apparel manufacturing or working with offshore factories will give you a strong advantage.
What You’ll Be Doing
- Maintain accurate and up-to-date financial records in Xero
- Process supplier invoices, payments, expenses and credit notes
- Manage accounts payable and track upcoming payment obligations
- Raise customer invoices, allocate receipts and follow up overdue accounts
- Reconcile bank accounts, credit cards, payment gateways and balance-sheet accounts
- Reconcile sales and settlements across retail, wholesale and eCommerce channels
- Track offshore factory deposits, progress payments and final balances
- Manage foreign-currency invoices and exchange-rate differences
- Assist with reconciling freight, duties and manufacturing-related costs
- Prepare weekly cash-flow, creditor, debtor and financial-status reports
- Support month-end close, including accruals, prepayments and supporting schedules
- Prepare accurate records for BAS, year-end and the external accountant
- Identify discrepancies, overdue items and financial risks early
- Help improve bookkeeping processes, controls and reporting
What We’re Looking For
- Proven experience as a Bookkeeper or Finance Administrator
- Advanced Xero capability – this is essential
- Strong accounts payable, accounts receivable and reconciliation experience
- Advanced Excel or Google Sheets skills
- Good understanding of month-end bookkeeping processes
- Excellent accuracy and attention to detail
- Ability to organise priorities and work independently
- Clear written and spoken English
- High discretion when handling confidential financial information
Experience in any of the following will be highly regarded:
- Fashion, apparel, luxury retail or eCommerce
- Apparel manufacturing or offshore factories
- International suppliers and foreign-currency transactions
- Factory deposits, staged production payments and landed costs
What Success Looks Like
- Xero and all supporting records are consistently accurate
- Supplier payments are properly planned and processed on time
- Outstanding customer accounts are actively followed up
- Bank accounts, cards and sales channels are fully reconciled
- Offshore production payments are accurately tracked
- The General Manager receives clear, dependable financial reporting
- Month-end and compliance information is delivered on schedule
