JOB TITLE: Bookkeeping & Compliance Coordinator — Full-Time Retainer (Long-Term)

Newly Renovated Inc. is a licensed California general contractor in San Francisco. We prepare homes for sale for real estate agents, working to hard photography and listing deadlines. We already work with several independent contractors in the Philippines, so you would be joining an established group, not starting alone.

We are engaging one experienced bookkeeping professional on a long-term full-time retainer. This work touches our money and our compliance records, so we are hiring for expertise rather than for hours. We would rather pay a senior rate for one person who gets it right than fill the seat cheaply.

THIS IS A CONTRACTOR ENGAGEMENT — WHAT THAT MEANS

You would be engaged as an independent contractor, not an employee. Concretely:

- You invoice us each month for your retainer. We are not running payroll for you.
- You are responsible for your own Philippine taxes and any registrations that apply to you.
- You supply your own computer and internet connection.
- Because this is a full-time commitment on a fixed schedule, we ask that any other engagements you hold are small, unrelated to our line of work, and worked outside your committed availability.
- You are engaged for defined deliverables, described below. How you organise your working method is yours to d ---------- .
- The engagement runs on a written contract with a defined term and a renewal review, not an employment relationship.

We are being precise about this because it affects your taxes and your rights, and you should know exactly what you are agreeing to before you apply.

THE AVAILABILITY WINDOW — PLEASE READ BEFORE APPLYING

We need you working live between 1:00 AM and 9:00 AM Manila time, Monday to Friday. That is 10:00 AM to 6:00 PM in San Francisco. From November to March the window moves one hour later.

This is a real requirement, not a preference. Vendor calls and coordination with our San Francisco team have to happen inside it.

We are stating this plainly instead of hiding it behind "must overlap with US hours." This is an overnight schedule. It suits people who already live on one and have built their life around it; it does not suit people who are willing to try. We would rather you decline now than end the engagement in three months. We will ask about overnight schedules you have actually worked.

WHAT YOU WOULD DELIVER

Bookkeeping, about 60% of the engagement:

- Books maintained in QuickBooks Online, with bank and credit-card accounts reconciled monthly.
- Payables and receivables managed across active and completed projects, with overdue items chased.
- A clean monthly close delivered on an agreed date: P&L, cash position, job-cost summaries.
- Project budgets tracked against actuals, with variances flagged early.
- Irregularities raised promptly. We would always rather hear about a problem early than find it late.

Contract and compliance administration, about 25%: a maintained library of contracts, licenses, insurance certificates and permits with a current renewal tracker; compliance checklists run on schedule; subcontractor documents kept current. You run the checklists. Our founder is an attorney and makes all legal determinations.

Records administration, about 15%: onboarding checklists, personnel and contractor files, leave records, contractor agreements, and pay-run preparation.

How this engagement may evolve: the areas above are what we need today and what you would be paid for from day one, but this is not a fixed, finished job description. We are still learning where a senior administrative professional creates the most value for us, and over time this could extend into people operations — recruiting and screening contractors, onboarding, and the systems that keep a distributed team organised. Nothing beyond the deliverables above is expected of you unless we discuss it and you agree, and if the scope grows we renegotiate the retainer at the same time.

WHO FITS

- 3+ years of bookkeeping, ideally for a US-based company.
- Hands-on QuickBooks Online: reconciliations, payables and receivables, monthly close.
- English at roughly CEFR B2 or above. You will speak with US vendors by phone, so you need to follow a fast American conversation, ask someone to slow down without embarrassment, and disagree clearly when a charge is wrong.
- Documented experience working an overnight schedule.
- Reliable internet with a backup connection, and a quiet working setup.
- Real attention to detail, and discretion with confidential records.

Helpful but not required: accounting degree or CPA, construction or other project-based experience, familiarity with retainage, progress billing, lien waivers, W-9s and insurance certificates.

TERMS

- Approximately 40 hours per week, as an independent contractor.
- $1,000 – $1,200 USD per month depending on experience, invoiced monthly and paid within 5 business days of invoice.
- An annual completion bonus is available at our discretion, tied to the engagement completing its term in good standing.
- Other engagements are subject to the conditions above.
- The contract has a defined initial term, and either party may end the engagement on 10 calendar days' written notice. We hold a renewal review at 90 days, and if the scope has grown we renegotiate the retainer at that point. We will not expand the scope without renegotiating the fee.
- A written contract and NDA are signed before you are given access to any of our systems.

We do not accept recorded intro videos and will never ask you for one. We assess English in a live conversation instead.

OUR PROCESS — SO YOU KNOW WHAT TO EXPECT

3. A 45-minute live video conversation with Erik Liu.
4. You speak privately with one of our current Philippine contractors, with Erik not on the call, and ask them whatever you want.
5. Offer, written contract, and NDA.

Start to finish, about two to three weeks. You will hear from us at every stage, including if the answer is no.
