JOB OVERVIEW

Newly Renovated Inc. is a licensed California general contractor in San Francisco. We prepare homes for sale for real estate agents and homeowners, working to hard photography and listing deadlines. We already work with a Philippines-based estimator and are adding a second to the team.

This role sits at the centre of our proposal operations. You would own the path from raw project data to a client-ready proposal.

You must be available and working 8:00 AM to 5:00 PM US Pacific time, Monday to Friday. In Manila that is:

- Roughly 12:00 AM (midnight) to 9:00 AM, from November to March
- Roughly 11:00 PM to 8:00 AM, from March to November

This is a full overnight schedule. We are not going to describe it as anything else. Availability during this window is a condition of the contract, not a preference.

We will ask you which overnight schedules you have actually worked, for which company, for how long, and what routine made it sustainable. We are asking for history, not willingness. If you have not worked overnights before, this is not the right engagement for you, and we would rather say so now than three months from now.

WHAT THAT MEANS

- You are an independent contractor, not an employee. You are not entitled to employee benefits of any kind.

- We do not withhold or remit Philippine income tax, SSS, PhilHealth or Pag-IBIG. You are responsible for your own tax obligations, for BIR registration as a self-employed individual, and for issuing official receipts as required.

- You supply your own computer, peripherals, and reliable high-speed internet. We do not provide or reimburse equipment.

- Contracting, timesheets and payment all run through Deel. You will need an active Deel account.

- The engagement is hourly. You are paid for approved hours worked. There is no guaranteed minimum number of hours per week, and no pay for days on which no work is performed. We currently expect around 40 hours per week.

- Either party may end the engagement on 10 calendar days' written notice.

WHAT YOU WOULD DO
============================================

PROJECT INTAKE & DATA PROCESSING

- Receive and organise new project data from our field team, including site documentation, photos, and 360-degree video walkthroughs.

- Review and interpret project materials to identify scope items, cost drivers, and open questions.

- Flag any missing information required to proceed and route requests for clarification. This is a core duty, not an afterthought. We would always rather answer a question than discover an assumption.


ESTIMATING & PROPOSAL PRODUCTION

- Develop detailed cost estimates from project scopes using our established pricing standards and reference data.

- Research and validate material and labour costs, subcontractor pricing, and line-item accuracy.

- Contact US vendors and subcontractors directly, by phone and email, to resolve scope discrepancies, challenge or clarify quoted pricing, and source new vendors to bid our projects. This is a regular part of the work, not an occasional one.

- Assemble complete, client-ready proposals in our proposal format and to our quality standards.

- Price change order requests and scope adjustments on active projects.

- Maintain organised records in our project management and estimating platforms.


SYSTEMS DEVELOPMENT & PROCESS STANDARDISATION

- Work directly with our leadership to document workflows, build standard operating procedures, and develop repeatable processes.

- Use AI-assisted tools to improve efficiency, consistency and quality across the estimating and proposal workflow.

- Contribute to training and onboarding as the Philippines-based proposal team grows.

Our estimating team is small and still being built. The person in this seat helps shape how it works, and we consider people already on the team first when a Lead Estimator role opens. That is our intention rather than a promise, and we will not pretend otherwise.

WHO FITS
============================================

- Documented experience working a full overnight schedule. This is the single most important requirement after estimating skill.

- Real quantity takeoff experience, including working from photographs and video rather than only from drawings or plans.

- The judgment to flag missing information instead of filling the gap with an assumption nobody knows about.

- Comfort calling US vendors and subcontractors in English to work through a scope discrepancy or challenge a quoted price. You will do this often.

- Ability to write clear, client-readable scope descriptions in English.

- Comfort on live technical calls in English with our San Francisco team.

- A track record of working to someone else's format and process, and of telling people early when a deadline is at risk.

- Your own computer and a reliable primary and backup internet connection.

Helpful but not required: civil engineering or architecture background; experience estimating for US, Australian or UK clients; familiarity with CSI division format; experience with Bluebeam, PlanSwift, Stack, Buildertrend, Jobtread or similar.
