Job Summary:
We are seeking a detail-oriented and dependable Administrative Assistant to support Medicare administrative operations and handle customer communication. This role involves managing CRM records, processing and tracking enrollment documentation, handling inbound and outbound customer calls, and providing reliable back-office support to licensed agents.
The ideal candidate is organized, patient, and professional, with the ability to handle sensitive customer information with care and follow detailed processes consistently. You will play a key role in keeping operations running smoothly and ensuring every customer receives a clear, positive experience throughout the enrollment process.
Key Responsibilities:
Medicare Administrative Support
• Enter and maintain accurate customer information in the company CRM and related systems
• Assist with processing, organizing, and tracking Medicare applications and enrollment documentation
• Review files for missing information, signatures, or required documents and follow up accordingly
• Track application and enrollment statuses and escalate delays or issues when necessary
• Upload, organize, and maintain digital customer records
• Assist licensed agents with appointment preparation and post-appointment administrative tasks
• Schedule customer appointments and manage agent calendars
• Prepare reports, spreadsheets, and internal tracking documents
• Follow established workflows, compliance requirements, and company procedures at all times
• Protect customer information and adhere to all company privacy and data-security policies
Customer Communication & Support
• Answer and manage inbound customer calls professionally and courteously
• Make outbound follow-up calls regarding appointments, documents, application statuses, and general inquiries
• Respond to customer
• Help customers understand next steps in the enrollment or service process clearly and patiently
• Provide friendly and patient assistance to seniors and their family members
• Route plan-specific, coverage-related, or regulated questions to a licensed Medicare agent
• Handle customer concerns calmly and escalate complex situations appropriately
• Maintain clear and detailed notes following every customer interaction
Requirements:
• Previous experience as an administrative assistant, customer service representative, or similar support role
• Strong spoken and written English communication skills
• Comfortable speaking with customers by phone throughout the workday
• Excellent attention to detail and strong organizational skills
• Ability to follow detailed processes and manage multiple customer files at once
• Comfortable working with CRMs, spreadsheets,
• Able to handle confidential customer and health-related information responsibly
• Ability to work independently, meet deadlines, and communicate proactively with the team
• Reliable internet connection and a professional, quiet home office setup
Nice to Have:
• Previous experience supporting a Medicare, health insurance, or healthcare-related business
• Familiarity with Medicare terminology, enrollment periods, applications, and customer workflows
• Experience using insurance CRMs, quoting platforms, carrier portals, or customer management systems
• Experience communicating with senior customers
• Knowledge of HIPAA, privacy, and insurance compliance procedures
• Experience working with a U.S.-based company or customer base
Availability Requirements (Primary Hiring Focus):
• Must be fully available to work full-time during U.S. business hours
• Not suitable for candidates with ongoing full-time commitments or multiple jobs
• Requires consistent attendance, reliability, and responsiveness
• Ability to prioritize work responsibilities without distractions
